This guide covers how to navigate and use the Reports section in your account, including how to filter, display, group, and download your data, along with a complete list of every report type available organized by category.

The Reports section gives you a central place to review and analyze your business data, from attendance and revenue to memberships, customers, and more. Whether you need a quick snapshot or a deep dive into trends, reports help you make informed decisions and stay on top of how your business is performing.

πŸ” How to Access Reports

To access your reports, click Reports in the left-hand navigation menu.

This takes you directly to the Reports section, where you'll see all available report categories organized in a clear menu, along with helpful widgets, quick-glance summary cards that highlight key data from the last 30 days, including trend lines and key metrics.

Each widget includes a View Report or View Chart button so you can jump straight into the data that matters most. Some report categories also include Quick Links, shortcuts to the most commonly used filtered views for that report.

For example, in the Memberships section you'll find links like "Active over time," "Expiring within 30 days," and "All Customer Memberships," so you can get to the answers you need without setting up filters from scratch.

Each section below walks you through how to get the most out of your reports, including how to filter and group data, switch between table and chart views, customize columns, and download reports for offline use.


πŸ“Š Filtering Your Reports

Filters let you narrow your report data so you're only looking at the information that matters to you. This section explains how to apply, combine, and manage filters across your reports.

You'll find filters at the top of each report. They appear as dropdown menus that let you select specific criteria, such as a date range, a particular instructor, venue, class type, membership, customer, booking source, or status.

To apply a filter:

  1. Click on the filter dropdown you'd like to use.

  2. Select the value(s) you want to filter by.

  3. The report will update automatically to show only matching results.

You can apply multiple filters at the same time to create a very specific view of your data. For example, you might filter the All Attendances report by a particular instructor, a specific venue, and a date range, all at once.

Filters are sticky, meaning if you switch between the table view and the chart view, your active filters carry over. You won't need to re-apply them when changing views.

Once filters are applied, you'll see pill-style indicators at the top of the report showing your active filters at a glance. To remove a filter, simply click the x on the relevant pill, or clear all filters to return to the full dataset.

Reports give you flexible ways to view your data so you can find exactly what you're looking for. This section covers table view, chart view, grouping, and configurable columns.

1️⃣ Table View

By default, reports display your data in a table view, a familiar spreadsheet-style layout with rows and columns. You can scroll through the data, sort by clicking column headers, and scan large datasets with ease.


2️⃣ Chart View

To visualize your data, click the Chart button at the top of the report. This generates a visual chart based on your current data and active filters, a great way to quickly spot trends, compare time periods, or identify patterns in your business.

πŸ’‘ Any filters you've applied in the table view will carry over to the chart view automatically, and vice versa.


3️⃣ Grouping Your Data

The Group By feature lets you organize your report data by one or more dimensions. For example, in the All Attendances report you could group by Venue, Year, and Class Type all at the same time to see attendance count broken down across each combination.

To group your data:

  1. Click the Group By dropdown at the top of the report.

  2. Select one or more dimensions to group by.

  3. The report will reorganize to display totals and subtotals for each group.

You can combine multiple grouping dimensions simultaneously to drill down into the exact breakdown you need.


4️⃣ Configurable Columns

You can customize which columns appear in your report by clicking the Columns button. This lets you show or hide specific data fields so that your view includes only the information that's relevant to you.

This is especially useful for reports with many available fields, such as All Customers or All Attendances, where you may only need to see a handful of key columns.

You can download your report data for offline use or further analysis. This section covers the available export options.

To download a report, click the Download button in the top-right corner of the report. Reports are exported as .CSV files, which can be opened in spreadsheet applications like Microsoft Excel or Google Sheets.

When downloading, you may also have the option to include additional customer fields in the export, giving you access to extra data points that may not be displayed in the on-screen report.

⚠️ For businesses with very large datasets, downloads may take a moment to process. A progress bar will appear while your file is being prepared.

Below is a complete list of all available reports, organized by category. Each report includes a brief description and a link to a detailed guide. Click on any report name to learn more about what it tracks, how to filter it, and what data you can export.

1️⃣ Events (Classes, Appointments & Courses)

These reports cover all of your session-based data, including class and appointment schedules, attendance tracking, course sessions, and instructor activity.

Tracks all class and appointment bookings, including attended sessions, no-shows, and late cancellations. Includes widgets and chart view for a quick visual overview

A full list of your scheduled sessions. Filter by type, instructor, venue, day, and status

Tracks individual course session bookings, located under Reports βž” Events βž” Courses

Shows hours worked by each instructor, class occupancy, no-show counts, and pay rate breakdowns



2️⃣ Customers

These reports help you understand your customer base β€” who they are, how they're engaging, and where to focus your retention and outreach efforts.

A comprehensive list of all customers, including personal details, form data, activity history, membership status, and account credits

Shows upcoming customer birthdays, perfect for sending personalized messages or promotions

Tracks your referral program: who referred the most customers, and the status of pending versus confirmed referrals

A history log of customer profile field updates, such as changes to phone numbers, addresses, or emergency contacts

Identifies customers who haven't attended a session recently, based on configurable criteria, so you can reach out before they become inactive

Additional customer reports including Customer Data Export, New Customers, and Inactive Customers



3️⃣ Revenue & Billing

These reports give you a clear picture of your financial performance, covering everything from individual purchases and invoices to upcoming payments and discount usage.

Breaks down purchases by individual line items

A summary of purchases organized by type (memberships, classes, courses, store items, etc.)

Customer purchases grouped by transaction, including payment status, payout information, and refund details

Shows upcoming scheduled payments for your customers

Tracks how your discount codes are being used. Filter by customer, code, group, or purchase type

These reports help you monitor the health of your membership base, including active memberships, cancellations, holds, and trends over time.

View active, cancelled, completed, upgraded, downgraded, and on-hold memberships. Filter by purchase and cancellation dates

Tracks active, ended, and upcoming membership holds, including proration and credit calculations

These reports cover your store sales data, from order summaries to individual item details.

A summary of your store order history and sales

A detailed breakdown of individual store items sold, including unpaid and undelivered items



6️⃣ Forms & Documents

These reports track form completion and document signing across your customer base.

Shows which customers have signed your waivers and when



7️⃣ On Demand

These reports cover your on-demand content performance.

Tracks on-demand content viewing history, including who viewed each piece of content, when they viewed it, and how many times



8️⃣ Gift Cards

These reports let you track the status and performance of your gift card sales.

View gift card statuses including Redeemed, Scheduled, Expired, and Delivered. Access this report at Reports βž” Gift Cards

Click the Columns button at the top of the report. This opens a panel where you can select which data fields to show or hide. Your column preferences let you tailor the view to focus on only the data that's important to you.

What file format are report downloads?
