Adding Gift Cards

This guide shows you how you can create and make Gift Cards available for your customers, and how you can purchase them via your Point of Sale or your Customer Site Store.

πŸ“ Overview

You can add Gift Cards to your store and allow your customers to purchase them as gifts for their friends and family, and they can purchase these gift cards using only the recipients email address, meaning they can send them a Gift Card, even if they're not registered as a customer with your business yet.

🎁 How to create a Gift Card

You don’t need to create separate Gift Cards for each amount. Just set up one Gift Card, add the amounts you’d like to offer, and customers can select their preferred value when purchasing.

Lets take a closer look at the process of creating a Gift Card, and what each step means.

1️⃣ Go to the Store Front

Click on the Store option in the side-menu to the left of your dashboard, and select Gift Cards.

You'll now be redirected to your Manage Gift Cards section where you'll see the screen below, and you can start setting up your Gift Card.


2️⃣ Add a Gift Card Image

The first field you'll see will ask you to add a Gift Card Image. If you already have an image you'd like your Gift Card to appear with on your TeamUp Store, please upload that, however, you can always skip this step and update it later.

3️⃣ Set the Visibility of your Gift Card

The next field will allow you to select where the card will be visible, and where it can be purchased from.

The two available options are:

For Sale in Point of Sale

If you select this option, the Gift Card will only be able to be purchased in your Point of Sale on your business dashboard, and so customers won't be able to purchase this on their own, and you will need to process this sale on their behalf.

For Sale in Customer Site Store

If you make Gift Cards available in the Customer Store, customers will be able to purchase them on their own.

πŸ’‘ Gift Cards being purchased from the Customer Site Store cannot be purchased using a discount code, and so customers will have to pay the full amount.

4️⃣ Set the Amounts the Gift Card will be available in

Here, you can set the amounts you’d like your Gift Cards to be available in. Only these options will be available when purchasing a Gift Card, both in the Point of Sale and on your Customer Site Store.

πŸ’‘ These amounts can always be updated later on if you'd like to remove or add options.

5️⃣ Set the Redemption Timeframe Limit

In the last field, you can select the how long the recipient has to redeem their Gift Card. If you don't want to set a redemption timeframe limit, you can uncheck this option, and they can redeem it at any point in the future.

If you want to set a redemption timeframe limit though, you can set any timeframe you'd like, from 1 day to multiple years.


When purchasing a Gift Card, you'll see you have the option to select a Delivery Date, which is when the email containing the Gift Card will be sent to the recipient. The delivery date can be scheduled up to 3 months in advance.

This allows customers to plan ahead, ensuring the Gift Card arrives on a special day (such as a birthday or anniversary), and the redemption period will begin on the delivery date, not the purchase date.

🧠 Example: If you create a Gift Card and set the redemption period to 1 month, and a customer purchases a Gift Card on the 10th of December, but sets the delivery date to the 25th of December, the recipient will receive their Gift Card on the 25th of December.

Now, the recipient will be able to redeem their Gift Card until the 25th of January, which is 1 month after the delivery date.



πŸ›οΈ How to purchase a Gift Card

Gift Cards can either be made available to your customers on your Customer Site Store, on your Point of Sale on your Business Dashboard, or both, depending on which options you selected under Visibility when setting up your Gift Cards.

When the Gift Card is made available to customers on the Customer Site Store, customers can purchase it by going to your Store Page, and selecting the Gift Card option on the top-right.

Now, they will need to select the Gift Card Amount from the available options, enter the recipients name and email address, and select the date they would like the Gift Card to be sent to the recipient.

The delivery date can be scheduled up to 3 months in advance, and if the business has set a Redemption Period, once the recipient will be advised on how long they have to redeem their Gift Card in the email they receive.

In order to process the purchase of a Gift Card via your Business Dashboard, you'll need to head over to your Point of Sale.

From here, you can select the Customer who is purchasing the Gift Card (sender), and then select Gift Card under Categories.


Now, you'll need to select the Recipient. Your next steps will depend on the if the recipient is an existing customer or not.

Click here if the recipient is an existing customer

If the recipient is an Existing Customer, you can search for them using their name or email address. Once you choose the recipient, you can then select the Gift Card amount and delivery date, and click on "Add" to add this to the basket.
​

Then you can click on the Cart on the top-right, in order to proceed to the checkout and process the payment of the Gift Card.

When this customer logs into their account now, they'll see the option to redeem their Gift Card.

Click here if the recipient is Not an existing customer

If the recipient is Not an Existing Customer, the Sender will need to provide you with the recipients name, surname, and email address.

Click the Create New Customer option, and you'll see a pop-up asking you to enter their information.
​

Once you enter their information, click on the Create New Customer button, and this will add the recipient as a customer to your business, so you'll be able to find them in the Customer List.

Now you can select the Gift Card mount and delivery date, and click on "Add" to add this to the basket.

Then you can click on the Cart on the top-right, in order to proceed to the checkout and process the payment of the Gift Card.

When this customer logs into their account now, they'll be taken through the process of creating their account, and then they'll see the option to redeem their Gift Card.
​


πŸ“Ά How to track Gift Card purchases

You can track all Gift Card purchases by going to Reports ➜ Gift Cards, where you'll see information for each Gift Card sale, and its status.

The Gift Card Report will display all information relevant to the sale of a Gift Card. You can find out more about information about each column below:

Customer

This is the name of the customer who purchased the Gift Card (the Sender).

Purchase Date

This is the date and time the Gift Card was purchased.

Recipient Name

This is the name of the Gift Card recipient.

Recipient Email

This is the recipient email address which was input when the Gift Card was purchased, and the email address the gift card email was sent to. πŸ›ˆ

Amount

This is the Gift Card amount, and the amount which will be added as a credit to the recipients account once the Gift Card is redeemed.

Status

This is the status of the Gift Card. The four possible statuses are:

  • Redeemed: The Gift Card has been redeemed by the recipient and their account has been credited.
    ​

  • Scheduled: The Gift Card has been scheduled to be sent on a future date.
    ​

  • Expired: Once the email has been delivered to the recipient, they will need to redeem their Gift Card within the Redemption Period. If they fail to do so, then the Gift Card will have expired.
    ​

  • Delivered: The Gift Card has been sent to the recipient, but has not yet been redeemed. You can click on the πŸ–‚ icon in order to resend that email.

Delivered At

This is the date and time the Gift Card was sent to the recipient. πŸ›ˆ

Redeemed

This is the date and time the Gift Card was redeemed by the recipient.

Expiration Date

This is the date and time the recipient will need to redeem their Gift Card by. Past that point the status of their Gift Card will be "Expired".

Paid

This status indicates whether payment for the Gift Card has been made by the customer.

πŸ’‘ Please Note:


​A) If this Gift Card was purchased on the Customer Site Store, the name displayed in the Recipient Name field will be the name which was entered by the customer who purchased the Gift Card, and not the name associated with their existing TeamUp account.

​B) We do not check if the email was delivered successfully or not. If there is a typo in the recipients email address, the status of the email in the Delivered field will be "Delivered" when the email is sent, even if the email fails to be delivered because of a typo.



πŸ“§ Gift Card Email Notification

When a customer purchases a Gift Card, an email is sent to the recipient on the delivery date with a link to redeem their Gift Card. It also lets them know who purchased the Gift Card (the Sender), which business this is from, and also the date their Gift Card needs to be redeemed by.

How can I edit this email?

If you go to Communications ➜ Notifications ➜ Store ➜ Store: Gift Card Recipient Notification, you'll find the default email sent to Gift Card recipients on the delivery date.

This can be edited by clicking on the Edit button on the top-right.

Now you can reword the email subject and content in any way you'd like, and also remove or add placeholders by clicking on the Add Placeholder option.

What Are Placeholders?

Placeholders are special tags that automatically fill in customer-specific details when a message is sent. For example, they can insert the recipient’s name, the gift card amount, or a redemption link into the email.

This means every Gift Card email is personalized for the recipient, without you needing to edit each one manually.

Once you've edited the email, you can check your changes by clicking on the Preview button, and if you need to make any more edits, click on Back in order to make further changes.

Once you have confirmed the email is ready, click on Confirm, and that email will now be sent to Gift Card recipients from now on.

Check a sample email

If you'd like to double-check what the email would appear like to the Gift Card recipient, you can click on the "Emails with sample values" option on the top-right, and this will generate a sample email where the placeholders you entered will generate sample values (not of existing customers) just so that you can get a better look at the structure of the emails.
