Why Customer Payments Fail

This guide explains the most common reasons Stripe and GoCardless payments fail, where to spot each one in your dashboard, and how you or your customer can resolve it.

๐Ÿ“ Overview

Payments can fail for a number of reasons. Some come from the customer's bank, some are part of how card and Direct Debit payments are processed, and a few are caused by setup or sync issues.

This guide covers the most common reasons Stripe and GoCardless payments fail, where you'll spot each one in your dashboard, and what you or your customer can do to resolve it.

๐Ÿ“ Where to find payment issues

Payment issues appear in different places depending on the payment processor and the status of the payment.

  • To-Dos โžœ Open Invoices: Stripe recurring payments that are still being retried automatically.
    โ€‹

  • To-Dos โžœ Failed Payments: payments that have reached your retry limit, and failed GoCardless payments.
    โ€‹

  • Billing/Revenue โžœ Pending: GoCardless payments waiting for bank confirmation.
    โ€‹

  • Billing/Revenue โžœ Payouts: money on its way to your bank account.


๐Ÿ”‘ Permissions

Owners and Admins can view and resolve failed payments, issue refunds and manage payment processor settings.

Staff Members and Instructors with limited permissions can only see payment information if they have been given the relevant permissions, such as Revenue or Customer Payments.

๐Ÿ’ณ Stripe

Stripe processes card payments, including Apple Pay and Google Pay. Most Stripe failures come from the customer's bank, although a few are caused by setup or sync issues.

When a recurring membership payment fails, Stripe retries it automatically every 24 hours until it reaches the limit set in your Customer Settings. Single purchases, such as drop-ins, packs and store items, are not retried.

๐ŸŸ  Card declined by the customer's bank

The customer's bank refused the payment, for example because of insufficient funds, an expired card, or a blocked or restricted card.

Declined recurring payments appear in To-Dos โžœ Open Invoices while they are being retried, then move to To-Dos โžœ Failed Payments once the retry limit is reached. At checkout, the customer sees an error message and the purchase isn't completed.

To find out why a payment was declined, open it in To-Dos โžœ Open Invoices. This shows the reason the last attempt failed and when the next retry is due. You can also click the payment in your Stripe Dashboard under Payments to see its failure reason.

๐Ÿ”ถ Insufficient funds

The customer's account didn't have enough money to cover the payment.

  1. Advise the customer to transfer funds into the account linked to their card before the next retry.
    โ€‹

  2. Alternatively, the customer can switch to a different card by going to My Account โžœ My Memberships โžœ Change payment method.
    โ€‹


๐Ÿ”ถ Expired or incorrect card details

The card saved on the membership has expired, or its details are no longer correct.

  1. Ask the customer to add their new card details by going to My Account โžœ My Memberships โžœ Change payment method.
    โ€‹

  2. Alternatively, update the card yourself by going to To-Dos โžœ Failed Payments, clicking Actions and selecting Change the membership's payment method.
    โ€‹


๐Ÿ”ถ Card blocked or restricted by the bank

The customer's bank blocked the payment, for example as a fraud or security precaution.

  1. Ask the customer to contact their bank to approve the payment or remove the block.
    โ€‹

  2. Alternatively, the customer can switch to a different card by going to My Account โžœ My Memberships โžœ Change payment method.
    โ€‹


Once the issue is resolved, wait for the next automatic retry, or click Actions โžœ Retry in To-Dos โžœ Failed Payments.

โš ๏ธ Declined single purchases, such as drop-ins and packs, aren't retried. The customer needs to check out again once the issue is resolved.

๐ŸŸ  Payment retrying in Open Invoices

Stripe is automatically retrying a failed recurring payment, so it hasn't failed for good yet.

This is expected behaviour. Stripe retries the payment every 24 hours until it reaches the number set under Settings โžœ Registrations โžœ Customers โžœ Number of failed payment attempts before a membership is unusable.

Once the limit is reached, the payment moves to To-Dos โžœ Failed Payments and the membership shows a red Max Retries label. The customer can no longer use that membership for new bookings, although existing bookings stay in place.

To take action on a retrying payment:

  • To stop the retries, select Void in To-Dos โžœ Open Invoices. This skips the payment permanently.
    โ€‹

  • To fix a payment that has reached Max Retries, open the customer's membership and click Resolve to change the payment method, skip or edit the payment, or retry it.

๐ŸŸ  Bank asked the customer to confirm the payment

The customer's bank requires extra verification (3D Secure) before the payment can be taken.

This isn't a failure yet, as the payment is waiting for the customer to confirm it. For recurring payments, the customer is emailed and asked to confirm the payment. At checkout, their bank may show a verification screen or ask them to approve the payment in their banking app.

While the customer completes this step, their booking may show as Checkout Pending.

Ask the customer to follow the link in the email or complete their bank's verification prompt. If verification keeps failing, they should contact their bank or try a different card.


๐ŸŸ  Payment below Stripe's minimum amount

Stripe can't process a charge below a minimum amount for your currency.

Charges below the minimum fail, although zero-value recurring charges still process. The minimum amounts are:

  • GBP: ยฃ0.30

  • EUR: โ‚ฌ0.50

  • USD: $0.50

  • AUD: $0.50

  • CAD: $0.50

  • CHF: 0.50

To resolve this, adjust the price or discount so the total is either zero or meets the minimum for your currency.

๐ŸŸ  No payment method on the membership

The membership has no saved payment method, so there's nothing to charge.

This can happen when adding a payment method was deferred when the membership was set up, or when the payment method was later removed. Card details are only saved when a purchase is successful.

The customer is emailed once a week before their first billing date, then daily once billing is due, and sees an ADD PAYMENT DETAILS banner in their account. Each day without a payment method counts as a failed attempt towards your limit.

To resolve this, ask the customer to add their details using the banner, or add a payment method to the membership yourself. You can edit the reminder email by going to Communication โžœ Notifications โžœ Customer Membership: Missing Payment Method.

๐ŸŸ  "This customer was deleted in the Stripe account"

The card on file couldn't be found or reused when the payment was retried.
โ€‹

This error can appear when the customer or their card was removed in your Stripe Dashboard, or when the saved card couldn't be reused for the next payment.

To resolve this error:

  1. Check your Stripe Dashboard to see whether the customer and their card still exist.
    โ€‹

  2. Go to To-Dos โžœ Failed Payments, click Actions next to the payment and select Change the membership's payment method. Alternatively, ask the customer to add a new card.
    โ€‹

  3. Once a valid payment method is in place, click Actions โžœ Retry.
    โ€‹

  4. If the customer and their card still exist in Stripe, contact our support team with the customer's name and the payment date.

โš ๏ธ Deleting a customer profile from your dashboard is permanent and removes their memberships and failed payments. Any refunds would then need to be made directly in Stripe.


๐ŸŸ  Payment shows in Stripe but not in your dashboard

Stripe took the payment, but your dashboard still shows it as retrying, failed or missing.
โ€‹

This is a rare sync issue that our support team can fix. Automatic reconciliation now makes it less likely to happen.

To resolve this issue:

  1. In your Stripe Dashboard under Payments, confirm the payment shows as Succeeded.
    โ€‹

  2. Copy the charge ID (starting ch_) or payment intent ID (starting pi_).
    โ€‹

  3. Contact our support team with the ID and the customer's name or email address.

โš ๏ธ Contact our support team before refunding the payment, as they can usually link the existing payment to the customer's purchase.

๐ŸŸ  Customer charged twice

The same purchase was submitted twice, creating two charges.

To resolve a duplicate charge, go to the customer's profile, open the Payments tab and click Refund next to the duplicate payment. Stripe doesn't return its processing fee when a payment is refunded.

If both charges appear in Stripe but only one shows on the customer's profile, contact our support team with both charge IDs.

๐ŸŸ  Error at checkout

A temporary or configuration issue stopped the customer's purchase from completing.

Customers may see messages such as Error Processing Payment: Invalid Date, a "something went wrong" message, or an error screen with a reference code. The Invalid Date error usually follows a change to a membership's tax settings or configuration.

To resolve a checkout error:

  1. Collect the details: what the customer was buying, when it happened, a screenshot or reference code, and whether they were charged.

  2. Check your Stripe Dashboard to see if a charge was created.
    โ€‹

  3. If no charge was created, the customer can try again. Any pending hold on their statement is usually released by their bank within a few business days.
    โ€‹

  4. If a charge was created but no purchase is showing, or if several customers are affected, contact our support team with the details.

๐Ÿ’ก A ยฃ0.00 or $0.00 authorisation when a customer signs up is Stripe checking their card, not a failed payment. For more help with checkout errors, see the guide here.


๐ŸŸ  Payment method not enabled for that purchase

The payment method is switched off for the type of item the customer is buying.

Each payment processor can be turned on or off for different purchase types, such as recurring and non-recurring memberships, classes, appointments, courses, store items and gift cards.

To check this, go to Settings โžœ Collect Payments, click Edit next to Stripe and make sure it's enabled for the purchase type.


๐ŸŸ  Payout delayed or held

The customer paid successfully, but the money hasn't reached your bank account yet.

This isn't a failed payment. Your first Stripe payout takes around 5 to 7 business days, and payouts can be paused while Stripe identity verification is outstanding. Stripe fees are deducted before each payout.

To check a delayed payout:

  1. Go to Billing/Revenue โžœ Payouts.
    โ€‹

  2. Click the ! icon next to any failed payout to see why. Common causes include incorrect bank details or a verification hold.
    โ€‹

  3. Complete any outstanding verification in your Stripe account.

๐Ÿฆ GoCardless

GoCardless collects Direct Debit payments directly from a customer's bank account using a mandate. These payments take several working days to clear.

Failed GoCardless payments aren't retried automatically. They go straight to To-Dos โžœ Failed Payments, and each manual retry counts towards your failed payment attempts limit.

๐ŸŸข Insufficient funds

The customer's bank account didn't have enough money to cover the Direct Debit.

A single failed payment doesn't affect future scheduled payments, although the failed payment needs to be retried manually.

To resolve a declined Direct Debit:

  1. Check the detailed failure reason in your GoCardless dashboard.
    โ€‹

  2. Ask the customer to transfer funds into the bank account linked to their Direct Debit, or to switch to a card payment.
    โ€‹

  3. Go to To-Dos โžœ Failed Payments, click Actions next to the payment and select Retry. It can take 3 to 5 business days to confirm whether the retry was successful.
    โ€‹

  4. If the customer needs more time, use Edit/Retry to set a date when they've confirmed the funds will be available. You can also change the amount if needed.

If you need to contact GoCardless, have the Payment ID ready. It starts with PM.

๐ŸŸข Direct Debit cancelled or bank account closed

The mandate is no longer valid, so GoCardless can't collect the payment.

The customer or their bank may have cancelled the Direct Debit, or the bank account may have been closed.

To resolve this issue:

  1. Ask the customer to add new payment details by going to My Account โžœ My Memberships โžœ Change payment method, or switch them to a card payment.
    โ€‹

  2. Once new details are in place, retry the payment from To-Dos โžœ Failed Payments, or click Resolve on the customer's membership.

๐ŸŸข Payment showing as Pending

The Direct Debit has been submitted and is waiting for the bank to confirm it.

This is expected behaviour. You'll find these payments under Billing/Revenue โžœ Pending, and first payments take the longest to clear.

A Pending payment can only be cancelled in your GoCardless dashboard. Once it's cancelled there, it shows as a failed payment that you can void.

๐ŸŸข Charged the old price, or charged after cancelling

GoCardless had already started processing the payment before the change was made.

GoCardless begins processing payments 7 days before the billing day, so price changes or cancellations made inside that window take effect from the next billing cycle.

To avoid this, make changes at least 7 to 8 days before the billing date. If it's too late, let the payment go through and refund the difference.

๐ŸŸข First payment showing as an offline payment

The customer's bank details weren't linked before their billing date, so the first payment was recorded as offline.

Once the customer has added their GoCardless details, go to To-Dos โžœ Pending Offline Payments, open the invoice and select Convert to bill. The customer is then emailed so they can pay online.

๐ŸŸข GoCardless account still in review

Customers can't pay with GoCardless until your GoCardless account has been verified.

While your account is under review, customers see a failure message when they try to complete a purchase.

Complete any outstanding verification steps in your GoCardless account. In the meantime, you can offer card payments through Stripe.

๐ŸŸข Refund not available yet

GoCardless Safe Refunds blocks refunds until 7 days after a payment is charged.

The Refund button only appears once the original payment shows as Completed. Payments that are still Pending can't be refunded.

To refund the customer, you can:

  • Wait until the payment shows as Completed, then refund it as normal.

  • Refund the customer as account credit instead.

  • Contact GoCardless support if you'd like to turn off Safe Refunds.

๐ŸŸข Payout delayed

Payments were collected, but the money hasn't reached your bank account yet.

This isn't a failed payment. Payments typically need 2 working days after the charge date before they're ready to be paid out, and your payout schedule may be daily, weekly or monthly.

Check your payout schedule and any verification notices in your GoCardless dashboard. If a payout is still missing, contact GoCardless.

How can I see exactly why a payment failed?

For Stripe, open the retrying payment in To-Dos โžœ Open Invoices, which shows the failure reason and the next retry date. You can also click the payment in your Stripe Dashboard.

For GoCardless, check the payment in your GoCardless dashboard.

How do I stop a payment from retrying?

Select Void next to the payment in To-Dos โžœ Open Invoices.

This stops the automatic retries and skips the payment permanently.

Will I be notified when a customer's payment fails?

Customers receive automatic emails about payment retries and failed payments.

Owners, Admins and Instructors with the Revenue permission can also receive an email the first time a customer's payment fails. This email lists any upcoming registrations the customer has. It isn't sent again for later retry failures, so you won't receive an email for every retry.

You can turn this email on or off under My Account โžœ Notifications.

Why was my customer removed from classes after their payment failed?

If the first payment on a recurring membership fails, the customer is automatically removed from any classes they registered for with it.

This only applies to the first payment. Later failed payments follow the normal retry process.

Are single purchases retried if the payment fails?

No. Single purchases, such as drop-ins, packs and store items, aren't retried.

If the payment fails, the purchase isn't completed and the customer needs to check out again.

Does the failed payment attempts limit apply to GoCardless?

Can I get the Stripe fee back on a refunded payment?

Where does an account credit refund appear?

Account credit refunds stay on the customer's profile as credit.
