How to change the price on a recurring membership for existing customers

This guide explains how to use the bulk edit tool to update recurring membership prices for your existing customers.

The bulk edit tool lets you update membership fees for all or some of your existing customers in one go.

You can filter by customer, payment plan, and current price, making it straightforward to apply a price increase across your membership base, or to target specific groups while leaving others unchanged.

πŸ› οΈ How to update prices for existing customers

The bulk edit tool is accessed from within the payment plan settings of the membership you want to update.

1️⃣ Open the payment plan

Head to Memberships ➜ Memberships and select the membership you want to update.

On the membership page, find the Payment Plans section and click Edit next to the relevant plan.

πŸ’‘ If your membership has multiple payment plans, click Edit next to any one of them, and you will be able to edit each plan as needed afterwards.


2️⃣ Open the Edit prices tool

On the Edit Payment Plan page, scroll down to the Existing Members section and click Edit prices tool.

⚠️ The price change takes effect immediately for all customers, with the exception of payments already scheduled through GoCardless. See the FAQs below for details.


3️⃣ Filter customers

You can use the filters at the top of the the bulk edit tool, to help you target the right group of customers. The available filters are:

Customer


Search for a specific customer by name

Any Plan


Select the payment plan you want to update. If the membership has only one payment plan, you will see just one option here

Any Amount


Filter by the current price customers are paying. This is useful if some customers are on a reduced rate, paying Β£0, or on a legacy plan that is no longer for sale, you can exclude those customers from the edit by leaving their price unticked

As shown below, customers on this membership have one of two payment plans, and are charged one of the two amounts. Both can be selected to update together:

πŸ’‘ To exclude customers paying a certain amount, for example, customers paying Β£0 or a custom amount, use the Any Amount filter, leave their price unticked, and tick all other prices.


4️⃣ Select your customers

Now, tick the customers whose membership prices you'd like to change the membership price for, and click on Edit Prices.


5️⃣ Enter the new price and preview

Enter the new price for each payment plan and click Preview change:

πŸ’‘You can click on Show All to the right of each price being edited to see a list of customers this change will be affected.


6️⃣ Confirm the changes

A preview screen shows the changes about to be applied.

Customers are not notified of this change automatically, so if you would like to inform them, click Copy email addresses to copy the list and paste it into your preferred email tool.

When you are satisfied with the changes, click Confirm to finalise.

If some customers were excluded from this batch because they are on a different price and you still need to update them, repeat the process from Step 3 with the appropriate filter settings.

After updating prices, it is worth checking your upcoming billing to confirm everything looks correct before the next billing cycle runs.

Head to Billing/Revenue ➜ Upcoming Billing to review scheduled payments.


πŸ”§ Editing Drop-In or PAYG prices

Drop-in and Pay-As-You-Go (PAYG) pricing is managed separately from membership pricing. To update these prices, go to Classes/Appointments ➜ Class Types ➜ select the desired Class Type ➜ Settings & Pricing ➜ click Edit next to Pricing.

From here you can edit the per registration (drop-in) price or alternate pricing.

I am using GoCardless. What do I need to look out for?

GoCardless begins processing payments 7 days before the billing day, which means any price changes made in the 7-day window leading up to the customers billing day will not be applied to that payment, as these changes will not apply to payments that are already scheduled.

🧠 Example:

If your customers bill on the 1st of the month and you update prices on the 28th, those payments will already be scheduled at the old amount and the new price will not apply until their next billing cycle.

If this happens, you have a few options:

When should I make the price change if I am using GoCardless?

To ensure the new price applies to the next billing cycle, make the change at least 8 days before the billing date. For example, if your customers all bill on the 1st of May, update the prices by 24th April at the latest.

What if I use Stripe or another online payment processor?

For processors such as Stripe, Braintree, PayPal, PaySimple, or similar, you can update the price up until the day before the billing date. For example, if customers bill on the 5th of the month and you update the price on the 4th, their payment on the 5th will reflect the new price.

How long does it take for the price change to take effect?

Will customers be notified of the price change?

Customers are not notified automatically. In the final confirmation step of the bulk edit tool, you can click Copy email addresses to copy the email addresses of all affected customers and paste them into your preferred email tool to send a notification.
