📝 Overview
The Customer List is where you browse, manage, and take action on your customer base. The redesigned list brings a configurable, report-style table, more filters, saved segments, and the ability to send broadcast emails and SMS messages without leaving the page.
You can choose which columns you see, save groups of customers as segments so you can come back to them later, and export your filtered list to CSV/Excel or Mailchimp. These features are included in all subscriptions.
💡 Prefer the previous layout?
You can switch back to the previous Customer List at any time by turning off the Try the New Look toggle in the top left of the Customer List.
Both versions are available for now, but the previous Customer List will be retired in a future update.
🔑 Authorizations
The Customer List uses your existing staff permissions, with broadcast messaging limited to Owners and Admins.
Owner | Full access to the Customer List, segments, exports, and Contact Customers (Email & SMS). |
Admin | Full access to the Customer List, segments, exports, and Contact Customers (Email & SMS). |
Instructor | Can access the Customer List and manage segments only if they have the Customers permission. Contact Customers isn't available. |
Staff Member | With the Customers permission, can view the list and create, view, edit, rename, and delete segments. Contact Customers isn't available. |
💡 To learn more about staff permissions, see our guide here.
📜 Using the Customer List
You can switch between the new Customer List and the previous version at any time using the Try the New Look toggle in the top left of the Customer List.
Find your way around the new list, search for customers, and set up the table so it shows the information that matters most to your business.
⚠️ For now, both versions of the Customer List are available, so you can switch back and forth while you get to know the new layout. The previous Customer List will be retired in a future update, so we recommend making the move to the new version when you're ready.

🗺️ Navigating to the Customer List
Head to Customers ➜ Customer List to open the list. Your column choices are saved to your own staff account, so the list looks the same the next time you visit.
🔍 Searching for a Customer
Use the Search Customers box at the top of the list to find a customer by any part of their first name, last name, email address, or phone number.
Phone number searches also check the customer's SMS account number and any custom fields set up as a phone number type.
📋 Choosing Your Columns
The table shows your customer data in a report-style layout, and you can choose which columns appear. By default, the list shows Customer Name, Email, CRM Status, Legacy Statuses, Memberships, Issues, Last Registration, Total Spend, Sign Up Date, and Last Broadcast.
To change your columns, use the Configure Columns dropdown ➜ tick or untick the columns you'd like to show or hide.
Customer Name | The customer's name. Click it to open their profile. |
The email address on the customer's account. | |
CRM Status | The customer's CRM lifecycle stage, shown using the stage name you've set up. |

Account Claimed | Whether the customer has accepted their invitation and set up their account. Family members can show as N/A. |
Memberships | The customer's memberships. |

Sign Up Date | The date the customer's account was created. |
Last Broadcast | The date the customer was last sent a broadcast email or SMS from your Customer List. Automated messages, such as booking confirmations, payment receipts, class reminders, and waitlist notifications, don't update this column. |

Last Registration | The customer's most recent past event of any type, including course sessions. Cancellations and no-shows aren't included. |

Has Failed Payments | Whether the customer has any failed payments. |

Days Until Birthday | The number of days until the customer's next birthday. |
Family Managers | The family manager(s) linked to the customer. |
Has Registration Block | Whether the customer currently has a registration block. |
💡 Total Registrations, Last Registration, Next Registration, Total Spend, Last Payment Amount, and Has Failed Payments can take 5 to 10 minutes to reflect recent activity.
↕️ Sorting the List
Click a column header to sort the list by that column. When the page first loads, the list is sorted by Customer Name from A to Z.
Sorting is available on date columns for:
Sign Up Date
Last Broadcast
Last Registration
Next Registration

And number columns:

🔽 Filtering the List
Filters narrow the list down to the customers you need. They also control who is included when you select customers, save a segment, export, or send a message. Under Filter Results By, click Add Filter ➜ choose a filter ➜ set its value.

📄 Moving Between Pages
The list shows 50 customers per page. A row count (for example, "Showing 1 to 50 of 251") and page controls let you move between pages.
➕ Adding a Customer
You can add a new customer directly from the Customer List, which is handy when onboarding walk-ins. Click Add a Customer in the top-right corner of the list to open the form.
The form asks for First Name and Last Name (both required), Email Address, and Notes (both optional).
👥 Selecting Customers & Saving Segments
Select customers in bulk and save them as named segments, so you can get back to the same group of customers in a single click.
Click the arrow to learn more about selecting customers and saving segments
Click the arrow to learn more about selecting customers and saving segments
☑️ Selecting Customers
Tick the checkbox next to a customer to select them, or use the Select All checkbox to select every customer on the current page.
Once the whole page is selected, a prompt lets you extend your selection to every customer who matches your search and filters across all pages. For example: "All 50 items on this page are selected. Select all customers matching the query".
💡 The Contact Customers and Save Segment buttons are visible at the top of the list, but they're only enabled once at least one customer is selected.
💾 Saving a Segment
A segment saves a group of customers under a name of your choice, and it appears as a tab next to All Customers.
Apply any filters you need.
Select the customers you'd like to include.
Click Save Segment.
Enter a name for your segment.
Choose a Segment Type: Static or Dynamic.
Save your segment.
Static | Saves a fixed snapshot of the customers you selected when the segment was created. This option is available whenever at least one customer is selected. |
Dynamic | Updates over time to show the customers who currently meet your saved filter criteria. This option is only available when at least one filter is applied. |
🧠 Example:
You can apply the Failed Payments filter set to Yes, select your customers, and save a Dynamic segment called "Failed Payments".
As customers' payment details change, they move in and out of this segment, so you can check it whenever you're following up on payments.
🗂️ Managing Your Segment Tabs
Your segments appear as tabs alongside All Customers. All Customers is pinned as the first tab, and the rest are ordered from oldest to newest.
Click a Segment tab to view the customers in that segment.
To rename or delete a segment, click the Edit Segment menu to the right of the tab ➜ select Rename or Delete.
💡 There's no limit on how many segments you can create. The tab bar scrolls sideways, and if a segment name is too long to fit, hover over the tab to see the full name.
When naming your segments, you can also include emoji's if you'd like.
📣 Contacting Customers by Email & SMS
Send a broadcast email or SMS directly from the Customer List, to customers you've selected, a saved segment, or everyone who matches your filters.

✅ Before You Start
A few checks are in place before you can send broadcast messages, to protect your customers and your email deliverability.
You'll need to be an Owner or Admin.
Your account needs a payment method on file. Contact Customers isn't available on a trial.
Broadcast messaging needs to be enabled on your account by our support team. If the option is unavailable, contact us at [email protected].
To send SMS messages, SMS needs to be enabled on your account.
💡 To find out how to enable SMS on your account, see our guide here.
💬 Opening the Send a Message Window
Tick at least one customer, then click Contact Customers from the main list or from any segment tab to open the Send a message window, which has an Email tab and an SMS tab. The Send to field shows the customers you've ticked, along with a Send to all checkbox.
Send to all unticked | Your message goes only to the customers you ticked, which appear as recipients. |
Send to all ticked | Your message goes to everyone in your current view. The recipients are replaced by one line naming the audience and its size, for example "All 128 customers in the VIP segment". Untick it to go back to the customers you picked. |
Send to all starts unticked, unless every customer in your current view is ticked, for example after using "Select all customers matching the query". When it's ticked, who receives your message depends on where you started.
All Customers tab | All of your customers. |
Filters or search applied | All customers matching your filters or search. |
Segment tab | All customers in the segment. A Static segment uses its saved list of customers, and a Dynamic segment uses its saved filters. |
Segment tab with filters or search | Customers in the segment who also match your extra filters or search. |
💡 The Email and SMS tabs share the same recipients, so switching between them keeps your choices.
📧 Sending a Broadcast Email
The Email tab lets you write a subject and message in a rich text editor, with placeholders to personalise each email.
Click Contact Customers and select the Email tab.
Check who the message is going to in the Send to field.
Enter a Subject.
Write your message, using Add Placeholder to personalise it.
Review the number of customers who will receive it and your remaining email limit.
Send your email.
{{provider_name}} | Your business name. |
{{recipient_name}} | The customer's full name. |
{{recipient_first_name}} | The customer's first name. |
{{recipient_last_name}} | The customer's last name. |
💡 Replies go to the Reply-to address in your email settings, which can't be changed from this window. To update it, see our email branding guide here.
⚠️ Emails are only sent to customers who have claimed their account. The window shows how many of your selected customers will receive the email.
📈 Your Monthly Email Limit
Each account has a monthly broadcast email limit of 50 times the number of customers with claimed accounts, with a minimum of 100 emails. The limit resets on your bill date each month.
The window shows how many emails you have left (for example, "1,200 of 5,000 emails remaining this billing month"). You won't be able to send a message that would take you over your limit.
🧠 Example:
If 300 of your customers have claimed accounts, your limit is 15,000 broadcast emails per billing month (50 x 300).
🛡️ Content Check
Before a broadcast email goes out, its content is checked for anything that looks like spam, a scam, or otherwise unsafe content.
If your email is flagged, it won't be sent. You'll see a message saying Sending blocked by our content check, along with the reason it was flagged. Edit the subject or text and try again, or contact us at [email protected] if you think your email was flagged by mistake.
📱 Sending a Broadcast SMS
The SMS tab lets you send a short text message to customers who have a phone number and are subscribed to Broadcast Messages. Broadcast SMS messages are charged at the standard SMS rate.
Click Contact Customers and select the SMS tab.
Check who the message is going to in the Send to field.
Write your message, keeping an eye on the character count (160 characters maximum).
Review the number of eligible customers and send your message.
💡 Before you send, you'll see how many customers will receive your message, for example "This will send an SMS to 10 customers. SMS messages can only be sent to customers with a phone number and are subscribed to Broadcast Messages." Placeholders are only available for emails.
⤵️ Exporting Your Customer List
Export the customers in your list, including any filters you've applied, to CSV/Excel or to Mailchimp.
On the top-right corner of the customer list, click Export ➜ choose your export option ➜ select the fields you'd like to include.
⚠️ The Constant Contact export option isn't available in the new Customer List.
💡 To connect your Mailchimp account, see our guide here.
📊 Monitoring Activity
Keep track of the broadcasts sent from your Customer List using the Last Broadcast column, your Activity Feed, and your SMS Messages report.
Each broadcast you send adds one entry to your Activity Feed, such as "SMS broadcast sent to 12 customers" or "Email broadcast sent to 40 customers" with the subject line underneath. Use the Broadcasts filter to show only broadcasts. SMS broadcasts also appear in your SMS Messages report.
💡 To learn more about the Activity Feed, see our guide here.
📬 How Customers Receive Broadcasts
Customers receive your broadcast emails at the email address on their account, and broadcast SMS messages on the phone number linked to their account.
Broadcast emails include an unsubscribe option, and they respect each customer's email marketing preferences. If you tick This is a marketing message when sending a broadcast SMS, customers who've opted out of marketing messages won't receive it.
To receive SMS broadcasts, customers need to turn on Broadcast Messages from My Account ➜ Notifications ➜ SMS.
💡 You can share our guide on how customers manage their notifications here.
