📝 Overview
The SMS feature lets you send instant text updates for waitlist changes, class/appointment registration confirmations, class/appointment changes or cancellations, and pre-class/appointment reminders, with a report to track everything sent.
🔔 This is an add-on feature. A per-SMS rate applies, billed monthly alongside your subscription. You can enable or disable it at any time. See pricing in the FAQ below.

🛠️ Enable and Configure SMS
1. Enable the SMS Feature
Head to Pro Tools ➜ SMS.
Complete the form with the information required for compliance: your name, address, business name, contact information, website URL, and CRN (Company Registration Number at Companies House).
🔔 When entering your website, include the full URL with protocol.
Example:

If you're a Sole Trader not registered with Companies House, select "Other" as the Business Registration Authority, and you can use your HMRC number instead.
You'll then be asked to upload documentation as proof, before clicking Enable SMS.
⚠️ Once you've enabled the feature, the mobile phone number can't be changed.
Once submitted, your details are reviewed by the SMS carrier. Your application will either be approved, with your SMS service starting straight away, or rejected, in which case you'll be notified of the reason.
The subscription details page shows the status of your SMS functionality (paused or active), along with:
SMS Rate. Your per-SMS rate.
Phone number. The number set up above. This is what customers will see when they receive an SMS from your business.
SMS Sent. The number of SMS messages sent so far in the current billing period.
SMS Bill. Your bill to date based on messages sent.
Next Billing Date. SMS billing occurs alongside your subscription fee billing cycle, as a line item on your monthly invoice. There's a minimum spend requirement of £10; if your monthly spend is less, you'll be charged £10.
2. Configure the SMS Types You Want to Send
Choose the automated messages your customers should receive.
💡 Only customers who've opted in will be sent SMS messages.
Head to Communications ➜ SMS, select the types you want to enable, and click Save. Hover over the 'i' icon next to each type for more information.
You can edit your selected types at any time by returning to this page.
3. Ask Customers to Enable SMS Notifications
SMS notifications are disabled for customers by default, so we suggest prompting them to turn them on. To receive them, customers need to opt in and verify their number from the Notifications tab on their account.

📊 The SMS Messages Report
This report lists all SMS sent to customers over any given timeframe. Head to Communications ➜ All SMS Messages.
Narrow results using these filters:
Customer. Search a specific customer.
SMS Type. Select one or multiple types: Waitlist Spot Available, Waitlist Spot Expired, Waitlist Spot Removed, Waitlist Spot Confirmed, Registration Confirmation, Event Cancelled, Event Details Changed, Reminder (sent 3 hours before an event starts, not adjustable), and Verification Code.
SMS Status. Sent, Delivered, Failed (the SMS provider couldn't deliver it), or External error (our request to the SMS provider itself failed; contact our Support Team for more detail).
Click Download in the top right corner to export the report.

How much does this feature cost?

A per-SMS rate applies, billed monthly alongside your subscription. If your monthly spend is less than £10, you'll be billed the £10 minimum. The rate for the United Kingdom is £0.07 per message. You can enable or disable this feature at any time.
How long does SMS approval take?

There's no fixed timeframe. If your details are complete and accurate the first time, approval can be quick, but the SMS carrier may come back requesting extra documentation, which will extend the process. Make sure your business details match your official registration exactly to avoid delays.
How many characters are allowed per message?

SMS messages are limited to 160 characters.
How do SMS notifications get triggered?

Waitlist, registration confirmation, and reminder messages send automatically when there's a waitlist change, a customer registers, or it's 3 hours before an event starts, with no action needed from you. For a cancelled or changed event, you need to select the option to notify attendees: for edits, go to Calendar ➜ click event ➜ Edit ➜ Notify attendees; for cancellations, Calendar ➜ click event ➜ Cancel ➜ Notify attendees. Customers receive the notification instantly.
What do my customers see?

Customers receive an SMS with the event details. Waitlist messages include a link to more information, covering a spot becoming available, a spot that couldn't be auto-registered due to incomplete forms/waivers or a registration cut-off, an expired spot, a confirmed spot, or a rejected spot.
Is two-way messaging supported?

No. Two-way messaging isn't currently supported for the United Kingdom.
How do I disable SMS notifications?

Head to Pro Tools ➜ SMS ➜ Disable. The feature switches off immediately, and you'll only be charged for what you've spent up to the cancellation date, or the minimum £10 fee. You'll lose your existing phone number and need to re-select one if you enable the feature again.
Can I enable this if I'm already using the old SMS notifications for waitlists?
