Creating and Managing Waivers

This guide explains how to create, edit, archive, and manage your digital Waivers, including choosing what they are required for, setting their Timing, sharing a direct link, and checking who has signed.

๐Ÿ“ Overview

Waivers let you collect digital signatures from your Customers, typically for liability disclaimers and terms and conditions, so nobody needs to file paper forms.

This guide covers how to add, edit, archive, and manage your Waivers, including setting their Timing, sharing a direct link, and checking who has signed.

Customers sign a Waiver once. The Timing you choose controls whether that happens before or after their first applicable registration, booking, or purchase.

๐Ÿ› ๏ธ Setup

You can create and manage all of your Waivers from Forms/Documents โžœ Waivers. From there you can create new Waivers, edit existing ones, adjust their signature settings, and archive any you no longer need.

โž• Adding a new Waiver

To create a new Waiver, go to Forms/Documents โžœ Waivers โžœ click Add Waiver.

Once you have clicked Add Waiver, complete the following steps.

1๏ธโƒฃ Name your Waiver and add its text

Enter the Waiver name and your Waiver text. When Customers sign, a text field is added for their signature, so remove any confusing "sign here" lines from the text itself.

Links included in the Waiver text are not clickable. Customers need to copy and paste them into a separate browser tab.

๐Ÿ’ก You can also enhance the waiver text using the "Enhance with AI" feature.

Select whether you require a digital signature when the waiver is being signed, or not.

2๏ธโƒฃ Choose what the Waiver is required for

Decide which registrations and membership purchases should prompt the Waiver. You can require it for all registrations and memberships, or only for the specific ones you select, such as certain classes, appointments, or membership types.


3๏ธโƒฃ Set the Timing ๐Ÿ†•

After choosing which registrations and memberships the Waiver applies to, choose its Timing. This controls when the Customer must sign in relation to their registration or purchase.

๐Ÿ””๐Ÿ†• Waivers can be required Before a registration or purchase, After it, or on a Customized basis, choosing Before or After individually for each class, course, appointment type, registration, or membership. This is helpful for free trials where you want signup to stay quick.

โœ๏ธ Editing an existing Waiver

If a Customer has previously signed a Waiver, you need to use Archive & Copy to edit any of its fields, including the title and text body.

Go to Forms/Documents โžœ Waivers โžœ Options โžœ Archive & Copy. In the popup, choose whether all Customers should sign the edited Waiver again or only new Customers.

This is also how you can change the requirements for an existing Waiver to be signed.

๐Ÿ’ก To edit an answer on a specific customer's Waiver, go to their profile โžœ Forms โžœ Details, next to the Waiver โžœ Fill Out.

Customers can edit their own answers under My Account โžœ their Name โžœ Edit, next to the field โžœ Save.


๐Ÿ”— Sharing a link to your Waiver ๐Ÿ†•

๐Ÿ””๐Ÿ†• Each Waiver now has its own unique link. You can copy it and share it however you like, or email it to a Customer directly from your dashboard, so they can sign before reaching the usual trigger point.

You can still direct a Customer to the Forms and Waivers tab on your Customer Site, or simply prompt them to go through the trigger point such as registering for an applicable class.

๐Ÿ—„๏ธ Archiving an existing Waiver

You can archive a Waiver at any time by going to Forms/Documents โžœ Waivers โžœ Options โžœ Archive.

๐Ÿ’ก New Customers are not asked to sign archived Waivers, but signatures collected in the past remain on record.


๐Ÿ“Š Reporting

You can check who has signed a Waiver either from the Waivers page or from an individual Customer's profile.

To see all signatures for a Waiver, go to Forms/Documents โžœ Waivers โžœ Options โžœ Signatures. This opens a report of all the Customers that have signed the Waiver.

To check a single Customer, go to Customers โžœ Customer List โžœ select the Customer โžœ Waivers. This shows whether each Waiver has been signed and the date it was signed.

๐Ÿง‘โ€๐Ÿ’ป Customer View

Customers are prompted to sign applicable Waivers during registration or purchase on the Customer Site, based on the requirements and Timing you selected. Waivers with outstanding signatures are also surfaced to Customers and staff in a few ways.

๐Ÿ””๐Ÿ†• When staff register a Customer for an event, or take attendance, an orange tag next to the Customer's name indicates outstanding Forms or Waivers.

Staff can send a reminder manually from an event's attendee list by clicking Send Missing Forms/Waiver Email under the orange tag.

Customers with an outstanding Waiver also see a banner on the Customer Site, and you can configure the Missing Forms & Waivers notification to send automatic reminder emails. Customers can complete outstanding Waivers at any time from the Forms and Waivers tab in their account.

Do Customers need to sign a Waiver every time they register?

No. Customers sign a Waiver once. If you edit a Waiver using Archive & Copy, you can choose whether all Customers or only new Customers need to sign the updated version.

Can I require a Waiver before or after a registration or purchase?

What happens when staff register a Customer who has not signed a Waiver?

Staff see an orange tag next to the Customer's name indicating outstanding Forms or Waivers, and can send a reminder from the event's attendee list using the Send Missing Forms/Waiver Email button. The Customer also sees a banner on the Customer Site until the Waiver is signed.
