How to run appointment-based one-on-one sessions

This guide helps you choose between flexible self-booked appointments and a fixed recurring schedule for one-on-one sessions, and points you to the setup steps for each.

There are two ways to run one-on-one sessions, depending on how your schedule works. This guide explains both approaches so you can choose the right one, then points you to the detailed setup steps for each. Use flexible scheduling when clients pick their own time from your open slots, or a fixed recurring schedule when a client always meets at the same time each week.

🗓️ Option 1 — Flexible scheduling with Appointments

This option works best for sessions where clients choose a time that suits them from your available slots, such as personal training, consultations, or assessments. The Appointments feature lets you define windows of availability, and clients then book themselves into your open slots, removing the back-and-forth of arranging times manually.

📆 Option 2 — Fixed recurring schedule

This option works best for a client with a locked-in weekly or fortnightly slot — for example, the same instructor at the same time each week. If a client's session always happens at the same time, you can set up a Recurring Appointment to reserve that slot automatically, rather than booking it manually each time.

To get started:

  1. Make sure the Appointment Type is already set up (see Option 1, step 1).

What's the difference between Appointments and regular Classes?
