How to book a Recurring Appointment

This guide explains how to set up a Recurring Appointment for a client from your dashboard, so a repeating slot is reserved automatically without manual rebooking.

A Recurring Appointment lets you reserve a repeating appointment slot for a client, for example, the same time each week with their coach, without rebooking it manually each time.

This guide walks you through creating a recurring appointment from your dashboard, step by step.


🗓️ How to create a Recurring Appointment

You can set up a recurring appointment for a client from the Reservations area of your dashboard. Follow the steps below.

1️⃣ Step 1 - Go to Reservations

Head to Classes/Appointments ➜ Reservations and click New recurring reservation.

2️⃣ Step 2 - Select the customer

Choose the client from the Customer dropdown.

3️⃣ Step 3 - Set the Reservation Type to Appointment

On the next page, under Reservation Type, select Appointment.

4️⃣ Step 4 - Choose a membership

Select the client's applicable Membership from the list.

💡 If the client doesn't have a suitable membership, click Add a different membership to be redirected to their profile, where you can add one before continuing.

5️⃣ Step 5 - Select the Appointment Type

Choose the one-on-one session you want to set up the recurring booking for from the Appointment Type list. You can also filter by Instructor and Venue to narrow the results.

6️⃣ Step 6 - Set the schedule

Choose the following:

  • Start Date — when the recurring series begins.

  • Appointment Slot — the specific time slot for each session.

  • Repeats — how often it recurs (for example, every 1, 2, 3, or 4 weeks).

  • Recurring Type — whether the reservation runs until the membership expires, or for a fixed number of sessions.

Click Create Recurring Reservation.

Once created, you can view and manage your recurring appointments by going to Classes/Appointments ➜ Reservations ➜ Reservation Type ➜ Appointment.

Can clients set up their own recurring appointments?

This depends on your account's configuration. Recurring appointments can be set up from your dashboard using the steps above. Self-service recurring booking from the customer side may also be available depending on your settings - if you'd like to confirm what's enabled for your account, please reach out to support.

How far ahead are the recurring slots booked?

Recurring reservations book a client's upcoming sessions a set number of weeks ahead on a rolling basis. The exact window can be configured for your account - reach out to support if you'd like to confirm or adjust how far ahead reservations are booked.

Can I set a recurring appointment to end after a set number of sessions?

Yes. When setting the schedule in Step 6, choose a fixed number of sessions under Recurring Type, rather than running until the membership expires.

What happens when a client's membership expires?

If the recurring type is set to run until the membership expires, the series stops automatically when the membership ends. No new sessions are booked beyond that point.

A recurring reservation automates the booking process - sessions are added to the calendar automatically on a rolling basis, saving you from manually booking each one. The client keeps the same slot as long as the reservation is active and their membership has credit.
