Scheduling an appointment for a client

This guide explains how to create, edit, cancel, and view appointments on behalf of a client from your dashboard, including choosing or purchasing a membership.

📝 Overview

The Appointment scheduling feature lets you offer one-on-one sessions such as personal training, consultations, or room hire. Clients can book appointments themselves from the Customer Site, or you can book on their behalf from your dashboard. This guide covers how to create, edit, cancel, and view appointments for a client.

🗓️ Creating an appointment

You can book an appointment for a client from your dashboard in a few steps. Before you start, make sure you have at least one Appointment Type set up.

  1. If you haven't already, set up an Appointment Type - see how to do this here. If your Appointment Types are already set up, skip this step.

  2. Head to Classes/Appointments Appointments Book.

  3. Under Book With, search for and select the desired Staff Member, and under Customer, search for and select the client.

  4. Select the date and time of the appointment.

  5. Choose the client's membership, or purchase one on their behalf by clicking View Purchase Options.

💡 If registrations haven't yet opened for your selected date and time, you'll see a message letting you know when registrations will open.


✏️ Editing an appointment

You can change an appointment's details, for example the date, time, or venue, directly from the Calendar.

Head to the Calendar ➜ click the appointment ➜ Options - Edit ➜ make your changes and save.


🗑️ Cancelling an appointment

To remove a client from an appointment, head to the Calendar and open the appointment.

Head to the Calendar ➜ click the appointment ➜ click the three dots next to the customer's name ➜ choose the type of cancellation and click Remove.

💡 When the last or only attendee of an appointment is removed, the event itself is cancelled, which frees up the availability.

Appointments have a default occupancy limit of one, though you can change this on an existing appointment to allow more than one attendee, in which case the event stays active until the last attendee is removed.


📆 Viewing upcoming appointments

You can see your upcoming appointments on the Calendar and narrow the view using filters.

Head to the Calendar Add Filter ➜ filter by the instructor and/or Appointment Type you want to see.
