How do I set up my Appointments schedule?
Understanding availability schedules
Instructor availability for appointments is managed via a schedule. A schedule defines the times when an instructor is available for appointments.
TeamUp's Appointment tool allows you to create multiple availability schedules for each instructor. You can:
- Establish multiple schedules per instructor, e.g., instructor Joe Bloggs teaches Yoga in the morning (schedule #1) and HIIT in the afternoon (schedule #2).
- Personalise each schedule's name.
- Link an Appointment Type to one, several, or all of an instructor's schedules. For example, instructor Joe Bloggs has three schedules: morning, afternoon, and evening, and you've set him as available for consultation appointments in the morning and afternoon.
Managing instructors' availability schedules
To make scheduling as quick and easy as possible, we've added access to your instructors' availability schedules in different parts of TeamUp.
You can manage schedules from:
The Appointment Types section
From Classes/Appointments >> Appointment Types, you can add new Appointment Types, or edit existing ones.
You can link existing instructors and their schedules, edit instructor schedules, and even add new instructors/schedules, to Appointment Types as you're creating them. For an in-depth look at how this works, head to How to set up an Appointment Type.
The Instructor Availability section
The Instructor Availability section lives under Staff >> Instructor Availability.
Here, under each instructor, you'll see an overview of what schedule is currently being assigned to what appointment type, its venue, and its rooms.
This powerful tool allows you to add and remove Appointment Types from instructors' schedules, all in one place.

From the Staff section
From Staff >> Staff Management >> click 'Options - Manage availability' next to an instructor, you can edit a specific instructor's availability schedule.
