How to Bulk Cancel Classes & Mark Your Business as Closed

This guide explains how to bulk cancel classes, mark your business as closed for a date range, and re-open your business when you are ready.

πŸ“ Overview

The Bulk Cancel & Mark as Closed tool lets you cancel multiple events across a selected date range in one action. You can also mark your business as closed for a period, for example, over a holiday, which adds a closed sign to both your provider and customer calendars and automatically blocks instructor appointment availability during those dates.

⚠️ Course sessions are not cancelled by this tool.

Only Classes and Appointments are affected. To cancel individual Course sessions, see the steps in the Cancelling a Course guide.


What Happens When Events Are Cancelled

When events are cancelled using this tool, the following applies to registered customers:


​Membership registrations
​

usage credits are refunded back to the membership


​Paid drop-in registrations


fees are refunded as account credit. No money is returned to the original payment method
​


​Notifications


customers are not sent an automatic notification. After confirming the cancellation, you will be given a list of affected customer email addresses to copy, so you can contact them directly outside of the platform

πŸ“ How to Access the Tool

The Bulk Cancel & Mark as Closed tool is found in your calendar settings.

Go to your Calendar ➜ click Settings ➜ select Bulk Cancel/Mark as Closed.

You will then be taken to the page shown below, where you can enter the date range you want to apply the change to.

πŸ”’ How to Mark Your Business as Closed

Marking your business as closed cancels all Classes and Appointments in the selected date range, adds a visible closed sign to both your provider and customer calendars, and blocks all instructor appointment availability for those dates.

  1. Enter the start and end dates for the closure.

  2. Tick the Mark the business as closed option. The Events and Venues selectors will be hidden, as all events are cancelled.

  3. Click Continue.

πŸ’‘ If you want to notify customers before confirming the cancellation, you can send a Broadcast SMS from within the class while it is still active.

Click Confirm. The next screen will display the email addresses of all customers who had a registration on a cancelled event. Click Copy to Clipboard to copy them so you can paste them into your own email to notify customers directly.

Once confirmed, all events in the selected date range will be cancelled and your calendar will display those days as Closed.

πŸ’‘ When your business is marked as closed, instructor Appointment Schedules are automatically blocked for those dates, so customers cannot book new appointments during the closure.


πŸ“‹ How to Bulk Cancel Classes

Use this option when you want to cancel specific events within a date range without marking your business as closed. You can choose which Event types and Venues to cancel, and review each session individually before confirming.

  1. Enter the start and end dates for the cancellation period.

  2. Skip the Mark the business as closed option and go directly to the Events and/or Venues selectors.

  3. Select the Event types and/or Venues you want to cancel during the selected period.

  4. Click Continue.

A list of all matching events to be cancelled will appear, showing the venue, date, time, and number of registered attendees. Each event has a checkbox to the left, untick any event you do not want to cancel before proceeding.

Click Confirm. The next screen will display the email addresses of all affected customers. Click Copy to Clipboard to copy them and send your own notification outside of the platform.

πŸ”” How to Re-Open Your Business

If you have marked your business as closed and want to re-open it before the end of the set closure period, there are two ways to do this.

Cancel Individual Days

Click on any day marked as Closed in your Calendar. A prompt will appear asking whether you want to remove the closed sign for that day. Confirm to re-open that individual day.

πŸ’‘ Removing the closed sign re-opens the day for new bookings, but it does not automatically un-cancel any events that were cancelled when you marked the business as closed.

To restore those events, use the calendar filter to show cancelled classes, then click each event and select Options ➜ Un-cancel.

Schedule Classes

If you schedule new classes during a period where your business is marked as closed, the closed sign is automatically removed for the days covered, and customers will be able to book appointments again.
