📝 Overview
If you need to update the timeslot for one of your class types, you can do so by adjusting any of the following:
Class start or end time
Occupancy (class size)
Instructors
Venue
How often the session repeats
When the timeslot ends
When you edit a timeslot within a class type, the changes will apply to all sessions in that timeslot.

🛠️ How to Edit a Timeslot
In order to edit a timeslot, you'll first need to navigate to the class type that timeslot belongs to.

There's a couple of ways you can do this, and these are:
Once you get to the class you want to navigate, there may be multiple timeslots, but if you click on the gear icon (⛭) to the right of the one you want to edit
Once you click on the gear icon, you'll see you have four options available.

🔵 Sessions
Clicking on the Sessions option will take you to a page where all currently scheduled events for this timeslot will be displayed.
🔵 Edit Details
The Edit Details option allows you to edit the venue, instructors, class occupancy/size, and start/end times of sessions on this timeslot.

Effective Edit Date
On the Edit Details page, you'll find the first option at the top of the page is the "Effective Edit Date", which is the date any edits you make here will take effect.
🧠 Example:
If your todays date is the 14th of February, and your timeslot is set to run every week on Tuesdays at 14:00, you might want to change this so that your sessions run at 15:00 starting the 20th of April.
To do this, you can make the change today, and set the "Effective Edit Date" to the 20th f April so that the changes take place then, and not earlier.
Start Time & End Time
The start time and end time are the time the sessions on this timeslot start and end. If you wanted to change the time that sessions on this timeslot take place or the how long the sessions last, this is where you can make this change.
Venue
This is where you can select the venue of sessions on this timeslot, however if you only have one venue available, this is the only option which will be visible.
💡 Rooms are only available for Appointments, and are not available for Classes.
Instructors
Here, you can tick the instructors you would like to be set as the instructors who will be leading sessions on this timeslot. You can tick one, multiple, or even none, however if you leave all instructors unticked here, sessions on this timeslot will appear to have no instructors.
Limit Class Size
If you tick the option to limit the class size, it will allow you to set the maximum number of attendees sessions on this timeslot will allow.
If you leave this option unticked, there will be no limit to the number of customers who can attend sessions on this timeslot.
🔵 Edit Dates
The Edit Dates section allows you to select the when sessions on this timeslot will start, how often they repeat (at what intervals), and when they end.

Start Date
The Start Date is the date where sessions on this timeslot will start, however, this option will only be visible if all sessions on this timeslot are empty, otherwise you will not see the option to edit the start date at all.
Repeats
The Repeats option allows you to select how often and at what intervals sessions on this timeslot take place. The options you'll have available to choose from will depend entirely on the if you already have sessions scheduled, and if customers have registered for these sessions.
If you already have sessions scheduled, you'll have three possible options:
No customers have registered for any of the sessions in this timeslot yet, in which case, you'll have the option to set the Repeats, to run every week, every 2 weeks, every 3 weeks, or every 4 weeks.
If customers have registered for some events, the system will display the available options you can choose from, excluding options which would lead to classes with registrations being deleted.
So for example, if you have sessions scheduled, and customers have registered for one of these sessions, you will see the option to repeat every 2, 3, or 4 weeks in a way that aligns with that class.If customers have registered for enough events so as to not allow any classes to be deleted by the system, you will not see the option to repeat every 2, 3, or 4 weeks, and you will only see the option to repeat classes every week.
Time Slot Repeats Weekly
This is where you can set the end date for sessions on this timeslot.
If you have a specific date you know you'd like these sessions to end, you can set this date here, and no sessions will be scheduled past that date, otherwise, you can leave this to run "forever", and the system will continue scheduling these sessions until you stop them.
💡 If sessions have been scheduled and customers have registered for them, you won't be able to set the end date before the date that class takes place. There will be a message indicating this underneath the date field as well.
If you need sessions on this timeslot to end on a date where customers have already registered for a session, set your end date to the earliest date possible, and then you will need to cancel any other sessions manually. (see here)
🔵 Cancel
If you select to Cancel a timeslot, this will end the timeslot immediately, and cancel all sessions which have been scheduled.

Selecting the Cancel option will immediately delete all sessions scheduled on this timeslot, however, if there's any customers registered for any of these sessions, you will first be asked to cancel these sessions individually.
This will allow you to select whether you want to refund your customers their class credit, and also gives you the option to notify customers about the cancellation with a custom message.

Can I edit the time of a class if customers are already registered?

Yes, you can edit the time of a class even after customers have registered. However, keep in mind that customers will not automatically be notified of the change, so you may want to inform them manually or via an email notification if the time shift is significant.
Will changing the instructor update automatically on customer schedules?

Yes, if you change the instructor for a timeslot, the new instructor will appear on the class details and customer schedules. Customers who have already registered will see the updated instructor listed, but you may still want to confirm the change with them.
Can I edit the venue for a specific class time?

Yes, you can update the venue for an individual timeslot when editing it, which is useful if the class is being moved to a different room or space after it’s scheduled.
Can I change the class capacity when editing the timeslot?

Yes, adjusting the class’s capacity (maximum number of participants) is part of editing a timeslot. This can help manage attendance if you need to open up more spots or reduce the number of registrations allowed.
What happens if I change the start/end time to conflict with another class?

TeamUp does not automatically prevent scheduling conflicts when editing timeslots, but if two classes are set to occur at the same time in the same venue with overlapping instructors, it can create booking confusion. Always double-check the calendar to avoid conflicts when rescheduling.
Can customers still cancel or unregister after the timeslot is edited?

Yes, once you’ve updated a timeslot’s details, customers can still cancel or unregister as usual based on the class’s cancellation settings. Just be sure they are aware of any changes that may affect them.
If I change the timeslot date, will it affect recurring classes?

Editing a single timeslot will only change that specific instance of the class. The rest of the recurring series will remain unaffected unless you edit the entire schedule rather than just the one instance.
Will customers be notified if I edit a timeslot?

Yes, when you edit a class session/timeslot, you’ll see the option to “Notify attendees of this change.”
If selected, registered customers will receive an automated email notification (and an SMS if you have SMS notifications enabled for “Details Changed”). You can also include a custom message explaining what has been updated.
