How to add venues and rooms

This guide explains how to add venues to your account, create and order rooms within them, and link rooms to your Appointment Types.

📝 Overview

You can add as many venues as you like to your account and assign them to your different Class or Appointment Types and Courses. Venues can also be linked to rooms, which help you manage separate spaces within a single venue.

In this guide we'll cover how to add a venue, how to add and order rooms, and how rooms work with your Appointment Types.


🏢 Adding a venue

Venues are the locations where your classes, appointments, and courses take place. To add a new venue, head to Settings ➜ Venues/Rooms and follow the steps below.

1. Click Add a Venue.

2. Enter your venue's name and select whether it's an online venue or a physical venue.

3. Select the venue type and complete the remaining details.

4. Click Create.

Your new venue will then show up on your active venues list in Settings ➜ Venues/Rooms, and you'll be able to select it for new and existing Class and/or Appointment Types.

💡 If you select an online venue, you'll be able to use it for your online classes and appointments.


🚪 Rooms

Venues can be linked to rooms, letting you manage separate spaces within a single venue. For example, if your venue has separate spaces for private PT sessions, consultations, or massages, each space can be set up as a room linked to that venue.

🧠 Rooms help prevent space conflicts. When setting up an Appointment Type, you can optionally select one or more rooms. Appointments are assigned to an open room automatically, and no two appointments can be booked into the same room at the same time.

Adding a room

Before adding a room, you'll need to create a venue if you haven't already (see here). To create the room, head to Settings ➜ Venues/Rooms and follow the steps below.

1. Click Options ➜ Manage Rooms next to the venue you want to add the room to.

2. Click Add a Room.

3. Enter a name for the room.

4. Click Save.

Once done, you'll see the room in the list and you'll be able to link your Appointment Types to it.

The list of venues under Settings ➜ Venues/Rooms also shows whether each venue has any rooms linked to it. Clicking the room name takes you straight to that room's edit form.

Reordering rooms

You can control the order your rooms display in. From Settings ➜ Venues/Rooms ➜ Manage Rooms, rooms can be dragged and dropped into any order, and that order is saved automatically. This order is reflected on the calendar Rooms view and on the Rentals booking page on both your dashboard and the Customer Site.

💡 Rooms can be linked only to Appointment Types, not Class Types.
