📝 Overview
A registration timeline allows you to define when customers can register for, and cancel, classes or appointments.
By creating one, you can apply custom registration and cancellation rules (such as “open”, “close”, and “cut-off” times) to specific class types. This ensures you control booking flow, cancellations, and advance registrations in a structured way.

Navigate to Settings → Registration → Registration Timelines.
Click “New Timeline”.
On the new timeline page, you’ll see options to set:
Registrations open: how far in advance customers can book.
Registrations close: when customers can no longer register (may be before or after the class start).
Cancellation cut-off: the latest time a customer can cancel without penalty.
Select which Class Types and/or Appointment Types this timeline should apply to.
Save the timeline.
Ensure the new timeline is assigned appropriately (either when creating/editing a Class Type or via editing the Class Type’s registration settings).
💡 You can create a new registration timeline which you can apply to appointments from here, but when you create a new appointment type, you'll be able to create a new registration timeline during the appointment setup.

Registrations Open
What it means: how many days ahead of the class customers can book a spot in a class or appointment.
💡 If you don’t want customers booking too far ahead (for example if your schedule may change), set a shorter “open” window.
Registrations Close
What it means: the deadline after which no further registrations are allowed (either before or after the class starts).
💡 Use this to avoid last-minute bookings that are difficult to manage.
Cancellation Cut-Off
What it means: the time before the class starts after which a cancellation is treated as a late-cancellation (possible penalty, no refund, etc).
💡 For high-demand classes, longer cancellation cut-offs help reduce last-minute drop-outs; for less-demanded classes you may allow shorter notice.
Additional Tips
Keep the number of timelines manageable. Only add new ones if the registration or cancellation rules differ significantly. Having a registration timeline per class or appointment type becomes more difficult to manage.
Communicate booking and cancellation deadlines clearly in the event descriptions or automated emails so customers understand your policy.
When a customer registers for an event past the cancellation cut-off, they'll be notified of this, and be advised that they will not be refunded the amount they paid or their membership credit in the event that they cancel their registration.
Review your settings periodically, especially if you change class types or schedules.

Are staff members/instructors able to register customers for classes past the registration close date?

Yes. The registration timelines are only applied on the customer site, and affect the when customers can register for a class or cancel their registration, but staff members can register customers for events past the registration close date, they can register customers for events before the registrations open, and they can also cancel a customers registration past the cancellation cut-off and mark it as a "regular cancellation" so that the customer is refunded their class credit or payment.
If the registration timeline for a class or appointment type shows that registrations for an event haven't opened up yet, will this hide the event on the calendar?

No. By default, classes are set to appear on your calendar 26 weeks (approximately 6 months) in advance, and your registration timelines do not have an effect on this. The classes will appear on the calendar, and customers will only be able to register for their classes when registrations open.
If you would like to change the how far in advance your classes appear on your customer site calendar, you can contact our support team and request this be changed.
