What are registration timelines?

This guide explains what registration timelines are, what the Registrations open, close, and cancellation cutoff settings do, and how to manage multiple timelines.

Written by Costa Bontioti

📝 Overview

Registration timelines determine when customers can register for and leave a session. You'll find them under Settings Registration Registration Timelines, and the booking and cancellation settings can apply globally to all offerings or be customised per Class or Appointment Type.

In this guide we'll cover what each timeline setting does, how to manage multiple timelines, and how daylight savings affects them.

💡 Registration timelines for Class Types are created in this section. For Appointments, you'll be prompted to create the registration timeline as you set up the Appointment Type.

⚙️ The timeline settings

Each registration timeline contains three settings that control the booking and cancellation window for the Class or Appointment Types assigned to it.

🔓 Registrations open

How far in advance can customers register? Use this setting to prevent customers from registering for Classes or Appointments too far into the future.

🔒 Registrations close

When can customers no longer register for a Class or Appointment? This cutoff can be before or after the Class or Appointment begins.

✂️ Cancellation cutoff

Cancellations after this cutoff will be late cancellations and will not be refunded.

🛠️ Managing registration timelines

You can have a general timeline for all Class and Appointment Types, or multiple versions of these settings for different class types. When you have multiple timelines, the first one on the list will always be the Default timeline.

If a Class Type isn't assigned a specific timeline, it will use the default timeline. Appointment Types work differently - you'll be prompted to create a registration timeline each time you set up an Appointment Type. For example, if you delete one of your timelines, all Class and Appointment Types assigned to it will revert to the default timeline settings.

💡 All timelines can be edited and deleted, except the default timeline, which can be edited but not deleted.

🕑 How daylight savings affects registration timelines

When daylight savings time (DST) is about to change, you might notice your class registration window looks slightly different - for example, classes may be offset by an hour compared to the normal registration timeline.

This is normal and happens because the system automatically adjusts class times to match the upcoming daylight savings change, ensuring your classes continue to run at the correct local time once the clocks move forward or back. You don't need to make any changes to your settings: your registration timelines remain accurate, and once daylight savings takes effect, the displayed booking times will return to normal.
