How can I block a membership from being used when it has pending offline payments

This guide explains how to configure an overdue offline payment threshold and block or unblock a customer's membership when an offline payment becomes overdue.

πŸ“ Overview

If your business accepts offline payment methods such as cash or cheque, you can configure the platform to flag those payments as overdue after a set number of days. You can then manually block a customer's membership until the payment has been confirmed by your business.

This feature gives you control over membership access when offline payments have not yet been received. The block applies to the specific membership only, and is automatically removed once the payment is confirmed.

πŸ’‘ The membership block described in this guide applies to the individual membership only. It does not block the customer's entire account from booking. To block a customer from all bookings, see the guide here.

πŸ› οΈ Setup

Before you can block a membership for overdue offline payments, you need to configure how many days must pass before a pending offline payment is considered overdue. This is a global setting that applies to all offline payments across your account.

1️⃣ Navigate to Settings ➜ Registration and locate the overdue payment threshold setting.

2️⃣ Enter your desired number of days before a pending membership payment is considered overdue, then save your changes.

⛔️ How to Block a Membership

Once an offline payment passes your overdue threshold, it will be flagged in your dashboard. From there, you can manually apply a block to the customer's membership, preventing them from making further bookings on that membership until the payment is resolved.

πŸ’‘ Because offline payments require manual confirmation from your business, they are not treated as failed payments and the membership block will not be applied automatically. You will need to apply it manually from the overdue payments list.

1️⃣ Payments that have passed your overdue threshold will be marked as overdue in Billing/Revenue ➜ Pending.

2️⃣ Click Options next to the overdue payment. You will see the option to block registrations for that customer's membership.

3️⃣ The customer will not be able to use this membership until the payment has been confirmed. The block is automatically removed once you confirm the payment.

Does blocking a membership block the customer from all bookings?

Click the arrow to see the answer

No. The block is specific to the individual membership only. The customer can still book sessions using any other active memberships they hold. To block a customer from all bookings across their account, see the guide here.

Will the block be removed automatically?

Click the arrow to see the answer

Yes. The block is automatically removed as soon as you confirm the payment. You do not need to remove it manually if you are confirming the payment through the standard flow.

Will the membership be blocked automatically when a payment becomes overdue?

Click the arrow to see the answer

No. Because offline payments are not technically failing, they require manual confirmation from your business, the membership will not be blocked automatically when a payment becomes overdue. The block must be applied manually from the overdue payments list.
