From time to time you may need to log a session that has already taken place - for example, you accommodated a last-minute client and didn't have time to book it beforehand, or a Staff Member forgot to register a personal training client on the day.
You can create appointments on past dates using the New One Off flow in your Calendar. This guide walks you through the steps.
🗓️ How to book an appointment retrospectively
The New One Off button lets you manually create an appointment slot and set its date and time, including a date in the past. Follow the steps below.
Head to Calendar ➜ New One Off.
Select the desired Appointment Type from the dropdown. You'll also be able to choose the venue, a date in the past, and the session details including start time, end time, instructor, and size limit.
In the final step, choose whether to book the client in now or leave the slot open and book them in later. If booking now, you can select an existing client or create a new one.
💡 The booking will appear on the Calendar and in the client's history as normal. Any membership credits will be deducted in the same way as a forward booking.

Will the client receive a confirmation notification for a past booking?

Notification behaviour for past bookings follows your existing notification settings. If your confirmation notifications are enabled, they may still be sent - check your notification settings if you'd prefer not to send them for backdated bookings.
Can I also book a future appointment using the New One Off flow?

Yes. The New One Off button creates a one-time appointment slot on a date you set, which can be in the past or the future. It differs from the standard booking flow (Classes/Appointments ➜ Appointments ➜ Book) in that it lets you set the time and date manually rather than picking from the instructor's published availability.
