This guide explains how to set up an automated email to customers who late cancel from a class.

Written by Costa Bontioti

📝 Overview

Use this notification to email customers who late cancelled from a class, reminding them of your cancellation policy. It's a specific use of the Pre/Post/Milestones notification builder.

💡 This guide covers the specific settings for a late cancellation email. For the full builder, covering timing, conditions, and advanced options, see the guide here.

🛠️ Create the Notification

Head to Communications ➜ Notifications ➜ Class/Appointment Registrations ➜ Pre/Post/Milestones ➜ click Detail ➜ click Add notification.

  1. Set the interval for after the class starts, for example 2 hours after.

  2. Under Conditions, set Customer status to Late Cancelled. You can leave the class type as "any type" to always send this for late cancellations, or restrict it to specific class types.

  3. Click Next to build the email. Add a subject and body, using placeholders to auto-fill fields like the recipient's name, class name, and class start time.

  4. Click Create to finalise the notification.

Your notification is now live and will be sent each time a customer late cancels under the conditions you've set.

Can I send this only for a specific class type?

Click the arrow to see the answer

Yes. Under Conditions, restrict the class type to one or more specific classes instead of "any type".

How is "late cancelled" defined?

Click the arrow to see the answer

This is based on your account's cancellation policy settings, which determine the cut-off point at which a cancellation is considered "late" rather than a standard cancellation.
