Recurring Membership Usage Limits

This guide explains how usage limits work on recurring memberships, how different limit setups affect customer access, and answers common questions.

Recurring memberships allow you to control how often customers can register for classes, appointments, courses, or rentals.

Usage limits let you define how many sessions a customer can attend per time period, and you can also apply limits to specific event types or class types.

Usage limits determine the number of bookings a customer can make within a selected period (such as per day, week, month, year, or billing cycle) and can be applied both at the overall membership level and at the specific event or class type level.

πŸ› οΈ How to Edit Usage Limits

If you have already created your membership and need to edit the usability settings, navigate to Memberships ➜ click the desired membership ➜ click Edit beside the Usability section.

From here, you can choose which event types the membership allows access to, and configure the frequency restrictions that control how many bookings a customer can make within a given period.


✍🏻 Usability Options & Examples

There are several ways to configure usage limits, giving you control over how many events a customer can attend within a specific time period. Below are practical examples to help you choose the setup that best suits your business.

1️⃣ Unlimited access to a single class type

In this example, only class/appointment registrations are allowed.

By selecting the "Beginners: BJJ" Class Type, customers will only be able to register for this class with this membership.

When choosing "No restrictions, allow unlimited registrations" under Frequency Restrictions, any customer who owns this membership will get unlimited classes within the billing period and the Class/Appointment Type/s allowed.


2️⃣ Monthly limit shared across multiple class types

In this example, the membership is usable for "Beginners: BJJ", "Beginners: Krav Maga", and "Beginners: Wrestling".

The usage limits are set to ensure that a customer can have no more than 8 sessions per month with this membership.

πŸ’‘ With this setup, the customer can choose how they use the 8 classes, e.g. 7 BJJ and 1 Krav Maga, or 4 Krav Maga, 2 BJJ, and 2 Wrestling, etc.


3️⃣ Monthly limit with per-class-type caps

With this set up, you can set the total number of classes this membership offers per time-period, and also apply limits per class type.

In the example below, the customer still gets 8 classes per month, but the following frequency restrictions are applied per class type:

3 of the 8 classes can be "Beginners: BJJ"

4 of the 8 classes can be "Beginners: Krav Maga"

8 of the 8 classes can be "Beginners: Wrestling"

πŸ’‘ If you leave the number of class frequency restrictions blank (---) then no frequency restrictions will be applied to that class, and the customer can use their membership to register only for that event type if they choose to.


4️⃣ Separate limits for a specific class type

In this example, HIIT class registrations count toward the 8 overall classes per month.

"Kettlebells" registrations have a limit of 3, but this is separate from the 8. So the customer gets 11 sessions in total: 8 of these to be used on HIIT registrations, and 3 on top of the 8 to be used for "Kettlebell" registrations.

How do I make a certain class type free for membership holders?

In the frequency restrictions, choose to make the usage limits "separate from" the membership usage limit. This means customers can register for the class type without using any credits, so the registration becomes free.

This does allow unlimited registrations by default, but you can set a limit to control how many of these free classes customers can register for.

Can I align membership usage limits to the billing period?

Yes. You can align the usage limits of a membership to be in sync with a customer's billing cycle using the "per billing cycle" option. This feature is not active by default. To enable it, please get in touch with the support team using the messenger widget or by emailing [email protected].

Why don't the usage limits align to the customer's billing correctly?

There are two options for membership usage alignment: "Calendar months and years" or "Aligned with billing dates (monthly) or start date (yearly)". If you have a membership that bills on the membership start date and your usage alignment is set to calendar month, the timing of a customer's payment and when they receive new credits will not align.

If your membership bills based on the membership start date, make sure your alignment is set to "Aligned with billing dates (monthly) or start date (yearly)".

You can set this by going to Settings ➜ Registration ➜ Calendar.

Do usage limits apply to Rental bookings as well?

Yes. If your membership includes access to Rentals, you can set usage limits to control how many Rental bookings a customer is allowed within a given timeframe. You can configure this from the membership's Usability section, just as you would for classes or appointments.
