π Overview
When a Wellhub member books one of your classes, they are automatically registered in your account, but attendance for Wellhub members works slightly differently to standard registrations, as an additional check-in step via the Wellhub app is required before attendance can be confirmed.
β Managing Attendance
Wellhub members are clearly identified on your class attendee list so you can distinguish them from other customers. Each Wellhub attendee is shown with a status pill indicating their current check-in state, as shown below.

Checking off attendance
For Wellhub registrations, two things must happen before the attendance is fully confirmed and Wellhub triggers payment to your account:
The customer must check in via the Wellhub app.
Only the customer can do this, it cannot be done on their behalf. Wellhub bases payment to partners on customers' check-in status, so it is important to monitor this.
βYou or a staff member must mark the customer as attended.
Click the checkmark next to their name on the class attendee list, just as you would for any other customer.
β οΈ Wellhub check-ins expire after 20 minutes if attendance is not confirmed in your account. If a check-in expires, the customer will need to check in via the Wellhub app again before you can mark their attendance.
π‘ If you use the Kiosk feature, customers can check off their own attendance directly from your kiosk.
The following statuses may appear under a Wellhub customer on your class attendee list:
1οΈβ£ Wellhub pending
The customer has booked the class but has not yet checked in via the Wellhub app. No action is needed from your side.
2οΈβ£ Checked in
The customer has checked in via the Wellhub app and their check-in is pending validation. No action is needed from your side.
3οΈβ£ Wellhub validated
The customer has checked in via the Wellhub app and their check-in has been validated with Wellhub.
4οΈβ£ Pending
The customer has not yet checked in via the Wellhub app. If the customer is present in class, remind them to check in.
6οΈβ£ Error
The check-in could not be validated. Hover over the Error pill to see the specific reason. The three possible causes are:
Customer cancelled their check-in. Ask the customer to check in via the Wellhub app again.
βCheck-in expired. The customer checked in but was not marked as attended within 20 minutes. Ask the customer to check in again and mark their attendance promptly.
βPremature attendance mark. Attendance was marked before the customer had checked in via the Wellhub app. Wait for the customer to check in first, then mark their attendance.
β
7οΈβ£ Customer cancellations
If a Wellhub member cancels their registration via the Wellhub app, they will be automatically removed from your class attendee list.
π Tracking Registrations & Attendance
You can track Wellhub registrations and attendances from your Attendance reports. Filter by booking source to see which registrations came from Wellhub, as shown below.
You can narrow down the results further by also filtering by attendance status.
