Introduction to Customer Fields

This guide introduces Customer Fields: what they do, the different field types, and how permissions work.

📝 Overview

Fields let you collect, store, and display customer data across your account, tailored to what your business needs to know.

Examples include straightforward details like Date of Birth or Mobile telephone number, questions like Where did you hear about us?, or business-specific information such as Height or What level of Pilates experience do you have?

Fields are created from Settings ➜ Customer Fields, then displayed and collected throughout your account. You can gather the information using forms, or enter it directly on customer profiles yourself.


🧠 Understanding Fields

A field defines a single piece of customer data, for example, "Date of Birth". Each field has:

  • A label, which specifies what the data means, for example "Date of Birth".

  • A type, which tells you what kind of data the field holds. Options include single line of text, long text, date, yes/no, whole numbers, decimal numbers, one choice, multiple choice, address, and phone number.

  • Whether it's required or optional for customers completing a form.
    ​

  • Whether it appears on the customer profile. Fields set to "Show on the customer profile page" appear on the customer profile in your business dashboard (Customers ➜ Customer list ➜ search customer) and can be edited from there.

  • Whether it's asked when adding a new customer via the business dashboard.
    ​

  • Which customer forms include it. A field can be used on multiple forms.

🔔 Fields can now be marked as optional, so customers can skip them and still submit a form. This setting sits on the field itself, so marking a field optional applies across every form it appears on. See the guide here.


💡 What You Can Do With Fields

Fields can be used in a number of ways. Here are some examples:

  • Use them as building blocks for customer forms, completed during sign-ups, registrations, and purchases.

  • Display them on the customer profile page, where they can be edited by your staff.
    ​

  • Add them to the business dashboard's customer creation flow.
    ​

  • Export the data to CSV or Mailchimp for in-depth analysis, via Customers ➜ Customer list ➜ Export filtered list.

  • Use field permissions to build role-specific reports, such as an attendance report with extra customer detail visible only to certain instructors.


🔑 Field Permissions

A field is either visible to all staff, or only to staff with the customers permission.

This mainly affects class and course detail pages, and downloads, since these are the places an instructor might need to view customer data.

Can the same field be used on more than one form?

Yes. A single field can be added to as many forms as you like, rather than needing a separate field for each one. Bear in mind that settings like required or optional apply to the field itself, so they carry across every form it appears on.

Are my existing fields required or optional?

Fields created before the optional setting became available remain required until you update them. You can change any field to optional at any time.

Who do field permissions apply to?

Field permissions control staff visibility only. If a field is set to "only staff with the customers permission", instructors or staff without that permission won't see it on class or course detail pages or in downloads.
