π Overview
Your account allows you to create automated emails that get sent to customers before, after, or at specific milestone moments of a class or appointment. This is a flexible feature with a wide range of timing, targeting, and personalisation options.
Here are a few examples of how you might use it:
A welcome message after a customer's first class or appointment.
Milestone recognition, such as a customer's 100th class or appointment.
A post-class email to no-shows reminding them of your no-show policy.
Pre-class or pre-appointment reminders for customers who need special instructions, such as directions or things to bring along.
Pre-class reminders for online classes or appointments.
A discount code sent to a customer after their first class.

π οΈ How to add a pre/post/milestone notification
A pre/post/milestone notification is built in four parts: the timing, the conditions that determine who receives it, any advanced options for milestone targeting, and the email content itself.

1οΈβ£ Set the interval
Under 'Interval', you can configure the time (in hours or minutes) before or after the class or appointment that the notification should be sent. In the example below, it will go out 24 hours before the class or appointment starts.
2οΈβ£ Set the conditions
Next, choose the Conditions that determine which registrations the notification fires for:
Classes. If you'd like the email to be sent for all classes or appointments, choose "any type". If the email should only go out for one or more specific classes or appointments, select "one of the following" and tick the applicable ones.
βVenue. Choose "Any venue" or one or more specific venues.
βThe membership the customer used to book the class or appointment. Select "Any membership" or one or more specific memberships.
βCustomer status. You can also choose to send the email to all customers who registered, or only a subset based on their attendance status. This is most useful for post class or appointment notifications.
β οΈ Notifications set up for the Waitlist customer status can only be sent before the class starts. Post class notifications are not available for the Waitlist status.
π§ Example:
You can combine conditions as needed.
For example, if you have a Kettlebells class with multiple sessions throughout the week (some online and some in person), and you want a notification that only goes out when someone registers for an online Kettlebells session, combine "The class type is - One of the following: Kettlebells" with "The venue is - One of the following: Online venue".
3οΈβ£ Add advanced options (optional)
The 'Advanced options' settings let you target the email to a specific milestone, such as the first registration of a particular class or appointment type, the 100th overall, or the 3rd no-show in the last 30 days.
β οΈ Advanced Options are not available for notifications where the customer status is Waitlist. Waitlist notifications are sent every time the condition is met.
Once you've set the conditions and any advanced options, click 'Next'.

4οΈβ£ Build the email
On the next page, you can write the subject and body of the email that customers will receive. You can also use placeholders to personalise the content further.
Placeholders get replaced by real data when the email is sent. For example, if you add the customer.first_name placeholder, a customer named Joe Bloggs will see "Hi Joe" in their email.

Once you're done, click 'Create'.

To preview your notifications, head to:

β¨ use the filters at the top to find a notification if needed
β¨ click 'View emails with placeholders' or 'emails with sample values'
βοΈ How to edit a notification
You can update the conditions or content of any existing pre/post/milestone notification at any time. Edits take effect immediately for any future sends.

Use the filters at the top to find a specific notification, then click 'Edit' next to the one you'd like to update.
In the next step, you can edit the conditions. If you only want to change the email content, click 'Next' to skip ahead and edit the email directly. Once you've finished, click 'Save'.
ποΈ How to delete a notification
If a notification is no longer needed, you can remove it at any time. Deleting a notification stops it from being sent in future but does not affect emails that have already been delivered.

Yes. Create a notification following the steps above and add the 'class.video_join_button' placeholder to the email.
For classes at online venues, the 'class.video_join_button' placeholder automatically inserts a button that links to Zoom in the email, under an "Online Class Instructions" section, as shown below.
