📝 Overview
This checklist walks you through everything you need to get TeamUp Marketing Suite up and running, in the order we recommend doing it. Work through it ahead of your onboarding call, or use it as a quick reference in between calls.

🛠️ Setup Checklist
Work through these steps in order. Each one builds on the last, so your contacts and lists are ready before you need them for campaigns and automations.
1️⃣ Access Marketing Suite
Marketing Suite connects to your account and opens using your existing login, so there's no separate username or password to set up. Once you're in, you'll see the Marketing Suite sidebar with all of its features.
You can access the admin console at any time via the add-on switcher in your TeamUp account.
2️⃣ Set Up Your CRM: Contacts & Smart Lists
Your customer data connects to Marketing Suite automatically, so your members already appear as contacts, ready to organise.
Build a few Smart Lists for the segments you'll want to target, for example, contacts on a specific membership type. Smart lists are built from rules you define, and they update automatically as your data changes.
💡 Lists are the building blocks for your campaigns, so it's worth creating your key segments before you move on.
To get started on creating a list, navigate to CRM ➜ List ➜ Create List.

3️⃣ Set Your Notifications & Connect Your Channels
Before connecting any channels, choose which notifications you want to receive, so your team isn't flooded with alerts the moment messages start flowing in.
Click Notifications in the top-right corner, followed by Settings.
Scroll down to the Conversations section and choose your alerts. At a minimum, we recommend enabling notifications for new messages and new leads.
Click Save.
With your notifications set, connect the channels you use most under Administration ➜ Conversations settings, choosing from email, Facebook Messenger, Instagram, and web chat, so every message lands in one place instead of across separate platforms.

4️⃣ Set Up Your AI Chat Receptionist
Your AI Chat Receptionist answers visitor questions and captures lead details 24/7.
🔷 Getting started
Setup is straightforward. To access the AI Chat Receptionist configuration, navigate to AI ➜ Workforce ➜ Chat Receptionist and click Configure.
🔷 What you can customise
Name and image: Personalise your receptionist's appearance.
Role and capabilities: Review the pre-configured Role and lead-capture capability. You don't need to edit these right away. Instead, test them first to see how your AI receptionist responds, then adjust based on the results.
🔷 Improve accuracy with knowledge
We recommend adding relevant information to the knowledge base to help your receptionist provide informed answers about your business. You can include text information, PDFs, and website references.
⚠️ The chat widget needs to be installed on your website before your AI Chat Receptionist can start engaging with visitors.
Test your AI Receptionist's responses by clicking "Try It".
🔷 Setting it live
Once you're ready to set your AI Receptionist live, navigate to AI ➜ Workforce ➜ Configure ➜ Manage. From here, you'll find the widget code to embed the receptionist on your website, and options to sign in to Facebook and Instagram.
💡 Want to capture leads straight from your website? You can do this using our Forms feature. New submissions create a contact automatically and can trigger your automations.

5️⃣ Build Your First Campaign & Automation
Campaigns are multi-step email sequences, such as a welcome series or a win-back campaign, sent to a list you choose. Choose a pre-built template rather than starting from blank, it's the quickest way to get going. Before publishing, send yourself a test email to check your links and merge fields.
Campaigns and Automations work together: Automations are workflows that run on their own when specific events happen, for example adding a new lead to your welcome campaign the moment they submit a form. Templates are available for both, so you rarely need to start from scratch.
💡 Already have campaigns in another platform?
You can extract the HTML code from your existing campaigns in Mailchimp, Constant Contact, and similar tools, and copy those campaigns over to Marketing Suite.

6️⃣ Check Your Executive Report
Your Executive Report gives you a regular summary of how your marketing is performing, delivered straight to your email. You'll typically receive a weekly report on Mondays and a monthly report between the 1st and 3rd of the month. You can also view it, along with your archive of past reports, from the Executive Report tab in the sidebar.
The report includes week-over-week and month-over-month comparisons, so it's a quick way to spot trends in your marketing.

They're saved as contacts in CRM ➜ Contacts. Web chat conversations where the AI couldn't capture contact details are kept in the Anonymous Visitors tab of Conversations.
Do I need a website to get started?

Most of Marketing Suite works without one. A website is only needed for the AI chat widget and embedded lead forms, since these are installed on your site's pages.
