This guide explains how to use your custom branded app to coach clients and track their progress. You'll see how to:

  • Configure Progress tracking in the Admin Console

  • Build and manage Challenges

  • Set up Meals and macro targets

  • Understand what your members see in the app for Progress, Workouts, Meals and Wearables

🫸 Before you start

  • Decide which metrics matter for your coaching (e.g. attendance, strength numbers, measurements, habits).

  • Decide whether you'll track progress mostly via:

    • Progress entries (e.g. weight, measurements, habit tracking)

    • Challenges (e.g. step counts, consistency challenges)

    • Meals & macro targets (nutrition coaching)

  • Make sure your groups / memberships are set up if you want certain content or challenges to be for specific members only.

πŸ’‘ Groups can be created manually or synced from memberships, and are used across the app to control access to workouts, meals, challenges, on-demand content, and more.

What Progress is for

  • Logging things like bodyweight, measurements, strength PBs, weekly workouts, or habit completion

  • Giving members a visual history of how they're doing

  • Giving coaches a quick way to review progress before sessions

  • Allowing manual entry by coaches if clients send metrics outside the app


Progress Categories

βœ… NEW

You can now create categories for your progress metrics (e.g. "Key Lift Tracking" or "Daily Checklist").

Users will see the name of each category, so make sure the name is meaningful.

To create categories:

  1. Click Manage Categories in the Progress section

  2. Enter a category name

  3. Click Create

  4. To reorder: click Change Order, drag and drop, then Save Order

πŸ’‘ Categories help organise progress data and make it easier for both coaches and members to review trends.


Progress Value Types

When you create a metric, pick the input type members will use:

  • Numeric (e.g. bodyweight in kg, hours slept)

  • Percentage (e.g. body-fat %)

  • Yes/No (e.g. "stretched today?")

  • Out of 10 (e.g. RPE, mood score)

  • Text - for open-ended responses (e.g. "Do you have any feedback on your class today?"). Members can type a free-text response when logging this metric

πŸ’‘Name metrics clearly and add short notes so staff know how to record them.


Progress categories

You can create categories to organise your progress metrics (e.g. "Key Lift Tracking" or "Daily Checklist"). Users will see the name of each category, so make sure it's meaningful.

  1. In the Progress section, click Manage Categories.

  2. Enter a category name.

  3. Click Create.

  4. To reorder categories: click Change Order, drag and drop, then Save Order.

When setting up a new progress metric, you'll now see a Progress Category field β€” assign the metric to one of your categories at that point.


Setting Up Progress Metrics

  1. Open the Admin Console β†’ Progress

  2. Click Add New

  3. Choose a Progress Category

  4. Name the metric clearly

  5. Select the Value Type

  6. Click Save

Reordering Progress Metrics

Click a category tab β†’ Change Order β†’ drag and drop β†’ Save

Use Text for open-ended responses (e.g. feedback or notes). Members can enter free-text responses when logging.

Use Meals to provide structured meal plans and macro guidelines for your members.

What Meals is for

  • β€’ Giving members a clear plan for what to eat and when
    β€’ Providing pre-built or custom recipes
    β€’ Setting and tracking macro targets (calories, protein, carbs, fats)
    β€’ Allowing coaches to monitor food logs and macro adherence

Creating Meal Plans in the Admin Console

  1. Go to Meals

  2. Create or edit a meal plan

  3. Choose Planner Type:

    • Daily Plan (set meals per day)

    • Meal-Based Plan (multiple options per meal time)

  4. Add meals and recipes

πŸ’‘ You can use your own meals, previously created meals, or recipes from the library.


Macro Targets

β€’ Set calorie targets within the meal plan builder
β€’ Filter meals by macro ranges (protein, carbs, fats)
β€’ Users can log food and view macro breakdowns

πŸ’‘ You can also manually set or adjust a user's calorie and macro targets from their profile under Food Macro, and review their intake via Food Logs, including images and daily breakdowns.

How to steer macros:

  • When adding items from the library, open Filters and scroll to the bottom to set Protein / Carbs / Fat rangesβ€”then pick meals that fit those targets.

  • Members can adjust their own macro targets in the app under Meal Plan / Logs if you allow it.

πŸ’‘ Use consistent naming for plans (e.g. "12 Week Fat Loss – Phase 1") so the calorie target and the plan are easy to associate.​


⌚ Wearables – enabling & using data

Use Wearables to pull activity metrics from members' devices into your app, so you can support habits and run data-driven challenges.

Setup:

β€’ Enable Wearables in Feature Selection
β€’ Members can connect supported devices
β€’ Data (steps, calories, distance) flows into the app


πŸ§— Challenges – driving engagement & accountability

Before creating your first challenge, make sure the Challenges feature is enabled in Feature Selection. Then follow the steps below to set up dates, tracking method (wearables/manual), and groups.

Challenges help you create time-bound events and campaigns that keep members motivated.

What Challenges Are For

  • Step or distance challenges

  • Attendance or consistency challenges

  • Habit-based challenges

  • Friendly competitions between users or groups

Adding a New Challenge

  1. Go to Challenges

  2. Click Add New

  3. Add Title and Description

  4. Select Unit of Measure (wearable or custom)

πŸ’‘ You can create custom units such as reps, burpees, or sessions via Manage Units of Measure.


Challenge Type

There are 3 types:

  • Fixed - the challenge starts and ends on specific dates. The same dates apply to all participants.

  • Flexible - the challenge starts for each user when they sign up. Every user has their own unique start and end date. There is no challenge-wide start date.

  • Multi Entry - the challenge can be entered multiple times. There is no end date. Users can sign up and complete it again whenever they like.

πŸ’‘ For Multi Entry challenges, the Duration and Start Date fields will not be available. You can still view all entries per user via View Logs.


Additional Setup

  1. Select Data Type (Numeric or Checkbox)

  2. Set Duration (if applicable)

  3. Set Start Date (if applicable)

  4. Set Goal

  5. Add Image


Progress Bar Type

Choose how progress is displayed to the user:

  • Increasing - users are working towards a goal (e.g. reaching 100 push-ups). The bar fills up as they log progress.

  • Decreasing - users are working away from a starting value (e.g. drinking a set amount of water and seeing how much is left to drink). The bar reduces as they log progress.

πŸ’‘ For Multi Entry challenges, you can view all entries per user. Go to Challenges ➜ click the 3 dots to the right of the challenge ➜ select Edit ➜ open the second tab (Users) ➜ find the user in the list ➜ click the 3 dots beside their name ➜ select View Logs.


Assigning & Saving

  1. Assign to everyone or specific groups

  2. Click Save Challenge


Tracking Challenge Progress

To view who has signed up and how they're tracking:

  1. Select the 3 dots to the right of the challenge.

  2. Select Edit.

  3. Open the second tab β€” this shows all users who have signed up, along with their progress, wearable connection status, and whether they've completed the challenge.

  4. Use the small arrows beside the Completed column to filter by completion status.

  5. Use the search function at the top right to find specific users.

  6. Use the trash icon to remove a user from the challenge if needed.

Members can:

  • Log their own progress

  • View history and charts

  • See categories and metrics

  • Upload transformation images (if enabled)

From the member view, the Workouts area lets members:

  • Access assigned workout templates (individual, group, membership-based, or global)

  • Complete and log workouts

  • View sets, reps, notes, and attached media

  • Follow structured workout programs released by date, login, or membership start

πŸ’‘ Coaches can also view workout logs and see if users have modified workouts.

Members can:

  • Access assigned meal plans

  • View recipes and instructions

  • Track food intake and macros

  • Upload food images and review daily macro breakdowns


⌚ Wearables

If you've enabled wearable integrations, members can:

  • Connect supported devices or services (such as fitness trackers or health apps)

  • Allow activity data (for example steps, distances, or other metrics) to flow into the app

  • Use that data in support of Challenges and Progress, depending on your configuration

How do I see a client's progress?

  • From the Admin Console, go to the relevant user and open their Progress view.

  • Use this before sessions to guide conversations: celebrate progress, discuss obstacles, or tweak programming.

This can also be done via the Admin section in the app, locate the member and open Progress to review entries and history.

How do I see which workouts a client has completed?

  • From the user's profile (or reporting area, if available), open their workout history.

  • Use this when adjusting training load or checking how consistently they're following their plan.

This can also be done via the Admin section in the app, open the member's Workouts/History to view completed sessions.

How do I change macro targets for a client?

  • Open the client's profile or the relevant Meals / nutrition settings.

  • Update their macro targets to the new values (for example, after a phase change or if progress has stalled).

  • Let the client know you've updated their targets so they can adjust.

This can also be done via the Admin section in the app, open the member's Meal Plan / Logs and adjust targets if enabled.

Why doesn't the Wearable data look accurate?

  • Ask the member to:

    • Check that their wearable is properly synced to its own app (e.g. their watch app).

    • Confirm that the integration inside your app is still connected.

    • Ensure they're wearing the device as recommended (e.g. all day for step counts).

  • If data still looks off, ask them to disconnect and reconnect the wearable.

How do I use Challenges for coaching, not just competitions?

  • Use Challenges for habits (e.g. "log progress 3x/week", "complete warm-up routine daily").

  • Combine Challenges with Auto Notifications (from your Engagement & Communication tools) to send check-in reminders.

  • Review results periodically and use them as talking points in check-ins or sessions.
