This guide explains how to use your custom branded app to coach clients and track their progress. You’ll see how to:

  • Configure Progress tracking in the Admin Console

  • Build and manage Challenges

  • Set up Meals and macro targets

  • Understand what your members see in the app for Progress, Workouts, Meals and Wearables

🫸 Before you start

  • Decide which metrics matter for your coaching (e.g. attendance, strength numbers, measurements, habits).

  • Decide whether you’ll track progress mostly via:

    • Progress entries (e.g. weight, measurements, habit tracking)

    • Challenges (e.g. step counts, consistency challenges)

    • Meals & macro targets (nutrition coaching)

  • Make sure your groups / memberships are set up if you want certain content or challenges to be for specific members only.


📈 Progress – configuring what you want to track

Use Progress to track key measurements and habits over time.

What Progress is for

  • Logging things like bodyweight, measurements, strength PBs, weekly workouts, or habit completion

  • Giving members a visual history of how they’re doing

  • Giving coaches a quick way to review progress before sessions

Progress Value Types

Progress Value Types allow you to select the form progress will be measured in. When you create a metric, pick the input type members will use:

  • Numeric (e.g., bodyweight, hours slept)

  • Percentage (e.g., body-fat %, completion %)

  • Yes/No (e.g., “stretched today?”, “alcohol-free day?”)

  • Out of 10 (e.g., RPE, mood score)

💡Tip: Name metrics clearly and add short notes so staff know how to record them.

Setting up progress metrics

  1. Open the Admin Console and go to Progress.

  2. Add a new progress metric (for example: “Bodyweight”, “Waist measurement”, “Weekly workouts”, “Sleep score”).

  3. For each metric, define:

    • A clear name

    • Optional unit (e.g. kg, cm, hours)

    • Any helpful notes or targets so your team know how to use it.

  4. Repeat for each metric you want to track.

Ordering and organising metrics

  • Use drag-and-drop to rearrange the metrics into a logical order (for example, put the most important ones at the top).

  • You can group related metrics visually by ordering them together (e.g. “Body measurements” followed by “Performance metrics”).

You can now drag and drop progress metrics to reorder them in the Admin Console.

🔄 COMING SOON:
Progress will support text-based values and categories, making it easier to track things like “mood” or “session type” without needing numbers. Once that update is live, the screens may look slightly different than in the current video.


🍛 Meals – meal plans & macro targets

Use Meals to provide structured meal plans and macro guidelines for your members.

What Meals is for

  • Giving members a clear plan for what to eat and when

  • Providing pre-built or custom recipes

  • Setting and tracking macro targets (calories, protein, carbs, fats) to support specific goals

  • Add helpful notes to individual meals so members understand how to use or provide more insight/instructions (portions, swaps, etc.).

Creating meal plans in the Admin Console,

  1. go to Meals.

  2. Create a new meal plan or edit an existing one.

  3. Add meals and recipes for each day, or for the periods you want (e.g. “Week 1 – Fat loss plan”).

Macro targets

You can set a daily calorie target for a meal plan in the plan builder. Plan-level macros (protein/carbs/fat) aren’t set here.

How to steer macros:

  • When adding items from the library, open Filters and scroll to the bottom to set Protein / Carbs / Fat ranges—then pick meals that fit those targets.

  • Members can adjust their own macro targets in the app under Meal Plan / Logs if you allow it.

💡 Use consistent naming for plans (e.g. “12 Week Fat Loss – Phase 1”) so the calorie target and the plan are easy to associate.


🧗 Challenges – driving engagement & accountability

Challenges help you create time-bound events and campaigns that keep members motivated.

What Challenges are for

  • Step or distance challenges

  • Attendance or “consistency” challenges

  • Habit-based challenges (e.g. “Drink water daily”, “Stretch every day”)

  • Friendly competitions between individuals or groups

Creating a challenge (Admin Console)

  1. In the Admin Console, go to Challenges.

  2. Click Create challenge.

  3. Set up the basics:

    • Challenge name and description

    • Start and end dates

    • What you want to track (e.g. steps, workouts, points)

  4. Choose how results are recorded (for example, via wearables or manual entry, depending on your configuration).

  5. Select which members/groups the challenge is for (e.g. “All members”, “Foundations group”, “PT clients”).

  6. Save and activate the challenge.

Monitoring & Coaching from Challenges

  • Check in on the leaderboard or participation screen to see who is engaging.

  • Use this information in your coaching: send check-ins, shout-outs, or adjust programming for people who are behind/ahead.


🕵️ What members see in the app

💡 These videos are for you as the app owner, so you can understand the member experience. They shouldn’t be shared as “how-to” content with customers.

📈 Progress

Members can:

  • Log their own progress for the metrics you’ve configured in the Admin Console

  • View charts and history over time

  • See whether they’re moving toward their goals


🏋️ Workouts

From the member view, the Workouts area lets members:

  • See upcoming and saved workouts

  • Mark workouts as completed

  • Sometimes see performance details if you’ve included them (e.g. sets, reps, weights)


🍛 Meals

Members can:

  • Access their meal plans

  • View recipes, ingredients and instructions

  • Use the plan (and any macros you’ve set) as a day-to-day reference


⌚ Wearables

If you’ve enabled wearable integrations, members can:

  • Connect supported devices or services (such as fitness trackers or health apps)

  • Allow activity data (for example steps, distances, or other metrics) to flow into the app

  • Use that data in support of Challenges and Progress, depending on your configuration

How do I see a client’s progress?

  • From the Admin Console, go to the relevant user and open their Progress view.

  • Use this before sessions to guide conversations: celebrate progress, discuss obstacles, or tweak programming.

This can also be done via the Admin section in the app, locate the member and open Progress to review entries and history.

How do I see which workouts a client has completed?

  • From the user’s profile (or reporting area, if available), open their workout history.

  • Use this when adjusting training load or checking how consistently they’re following their plan.

How do I change macro targets for a client?

  • Open the client’s profile or the relevant Meals / nutrition settings.

  • Update their macro targets to the new values (for example, after a phase change or if progress has stalled).

  • Let the client know you’ve updated their targets so they can adjust.

This can also be done via the Admin section in the app, open the member’s Meal Plan / Logs and adjust targets if enabled.

Why doesn't the Wearable data look accurate?

  • Ask the member to:

    • Check that their wearable is properly synced to its own app (e.g. their watch app).

    • Confirm that the integration inside your app is still connected.

    • Ensure they’re wearing the device as recommended (e.g. all day for step counts).

  • If data still looks off, ask them to disconnect and reconnect the wearable.

  • Combine Challenges with Auto Notifications (from your Engagement & Communication tools) to send check-in reminders.

  • Review results periodically and use them as talking points in check-ins or sessions.
