New Feature Update:

You can now override the default waitlist limit on individual classes. Checkout the Waitlist override section for more details.

Waitlists are a smart way to keep your classes full when spots open up. They ensure that if someone cancels, the next person in line can fill the spot, so no one misses out on a chance to attend.

Get started

To get started, simply head to the settings page where you can manage all your waitlist options.

Navigate to Settings >> Registration >> Waitlists, and when you are ready to make changes click 'Edit'

Waitlist settings

On the settings page, you can easily edit the following sections. Any changes you make will apply to all class types.

Auto registrations

Click the arrow to learn more

Eligible customers with memberships, or those attending free events, will automatically be added from the waitlist to a class/event if a spot opens up more than ‘x’ days, ‘x’ hours, and/or ‘x’ minutes before the event starts.

If the class/event is less than ‘x’ days, ‘x’ hours, and/or ‘x’ minutes away, the customer will need to manually claim the spot before it expires.

The waitlist editing page allows you to set the cutoff in days, hours, and minutes.

Reserved time

Click the arrow to learn more

This applies to waitlist spots that do not automatically add a customer to the class. When a spot becomes available, the customer must manually accept the spot within ‘x’ days, ‘x’ hours, and/or ‘x’ minutes. If they don't claim the spot in time, it will be offered to the next person on the waitlist.

Similar to auto-registrations, on the editing page you can adjust the time frame in which a customer has to accept the available spot.

Max size

Click the arrow to learn more

You can set a limit on the number of people allowed on the waitlist for each class or event.

The waitlist editing page will display your classes or events and provide dropdowns to set the waitlist limit for each.

Disable waitlists

If you'd prefer not to have a waitlist for a class or event, you can easily disable this option.

Click the arrow to learn more

To disable a waitlist, navigate to the Edit Waitlist Settings page. Set the Waitlist Limit for the desired class type to 'Waitlist disabled' and click Save.

Waitlist override

All limits set in the Waitlist settings apply to all classes or events. However, you now have the option to override the waitlist capacity for each individual class.

Click the arrow to learn more

Select a class from your calendar to open its details, then click Options >> Edit

You now have the Waitlist Capacity option, allowing you to set a new waitlist limit from the dropdown. Don’t forget to click Submit to save your changes.

Please Note:

This option will also be available when adding a One-Off event.

FAQs

When is a customer added to a waitlist automatically?

Click the arrow to learn more

The default auto-registration setting is 1 day. If a spot becomes available more than 1 day before the class starts, eligible customers will be automatically added to the class, provided they have completed all necessary forms, signed the waivers, hold an applicable membership, and have available credits.

When do customers need to accept a spot manually?

Click the arrow to learn more

Based on the answer above, if a spot becomes available less than 1 day before the class starts, or if the customer doesn't fulfill one of the conditions above, the spot will be reserved for them for 30 minutes (as per the default 'Reserved time' settings). If they don't, or can't, accept it, the spot will then expire and be offered to the next person on the waitlist.

Due to the above, customers are removed from the waitlist by the system if a spot is offered to them but they don't accept it in time, and the spot will be offered to the next person on the waitlist.
