Reports - Instructor Hours and Pay Rates

How many hours have my instructors worked? How much did my instructors earn per class?

This useful report lets you see how many hours each of your instructors taught during any given timeframe for all event types (courses, classes, and appointments).

The new version of the report also lets you see the occupancy and number of no-shows per class, and a summary and breakdown of your instructor's Pay Rates if they have them.

πŸŽ‰ We're working on a new and improved reports design with new features! We will be applying this new visual style to all of our reports soon. Check out the new design of Instructor Hours here (now called Instructor Hours and Pay Rates). Let us know what you think in the Product Feedback Portal!

In this guide, we're going to take a look at how to navigate the new Instructor Hours and Pay Rates report and the Instructors Report (old):

To view this report, head to Reports >> Events >> Instructors - Instructor Hours and Pay Rates.

You can use the instructor filter to view the data for a specific instructor and apply a date filter to see the results for a certain date range.

Let's take a look at how to navigate this report!

The unfiltered data (all instructors)

By default, the columns of the unfiltered report display the following information:

  • Instructor. Name of the instructor.
  • Total Events. The number of classes, appointments, and courses taught by the instructor in the selected date range.
  • Total Hours. The total number of hours worked in the selected date range.
  • Total Earnings. The instructor's total earnings in the selected date range, based on their Pay Rates. If you haven't set up Pay Rates for an instructor, the Total Earnings field will always be 0.

πŸ’‘Only customers marked as attended will be taken into account for per-customer rate types. You can override this in the Pay Rate settings to include late cancels and no-shows too.

🚨 Please note that the Total Earnings column may take up to 5 minutes to update after an attendance status change.

View a specific instructor's hours and earnings

If you filter the report by a specific instructor, you'll be able to see a detailed breakdown of their earnings over time, including the name of the event, the date/time, the venue, the number of attendees, the duration, which Pay Rate was applied, and the total earnings for that event.

instructorhourswhatsnew2

The detailed view displays a bar with the instructor's totals at the top, and an itemised list of the events, attendees, hours, pay rate, and earnings per event.

❗️ A Pay Rate needs to be assigned to an event before the session start time. If a session has already happened, it's not possible to assign a Pay Rate retroactively. Any events that didn't have a Pay Rate assigned will show up as "N/A" in the Instructor Hours and Pay Rates report, as seen below.

You can see the details of a Pay Rate by hovering over it in the report. If it's a tiered Pay Rate, the message will display the different tiers.

πŸ’‘ After an event ends, it takes a few minutes for the system to calculate an instructor's earnings. During this time, the 'Total Earnings' column shows a 'Pending' pill, as seen below.

In this view, you'll also be able to configure the columns to display even more information, such as the number of no-shows and late cancellations and the number of free attendees:
